Position Overview:

We are seeking an experienced leader to oversee our Trade Operations/Execution department. This role involves managing a dedicated team and ensuring the seamless execution of trade processes, documentation, and systems while interfacing with relevant internal and external stakeholders.

Reports to: Managing Director, SG

Job Responsibilities:

• Lead the trade operations/execution department – people, processes, documentation, systems and interface with relevant internal and external counterparts.
• Manage the preparation, review, editing of contracts and addendum to commercial standards and business expectations.
• Issue and manage Letters of Credit for purchases and sales – tracking and resolving any arising issues.
• Coordinate and manage contract/ trade re-cap/ shipment planning & LC execution with Traders, Chartering and Ship Operations teams.
• Oversee daily trade operations and resolve any contract/ shipment and LC related issues.
• Manage and resolve quality-claims (off spec), partial loading (dead freight), non-performance or default (cancellation), delay or postponement, and any other contract related problems – in coordination with trader/s.
• Work with traders to manage tenders (procurement/sales) participation – prepare required documentation and arrange prepayment, earnest money, performance bond as applicable.
• Attend bankers meeting and keep the track of Credit Line usage.
• Develop standardized commodity contracts, processes, and control procedures and authority matrix related to deviations from standard terms and compliance of contract.
• Provide monthly tonnage reports, and other insight reports and analysis for management & traders to monitor and grow the trading business.
• Manage and enhance customer relationships with existing customers and suppliers in coordination with traders.
• Maintain active dialog with customers and suppliers to ensure smooth and accurate execution of commodities contracts.
• Confirm monthly derivative averaging requirements for hedging and pricing declarations.
• Follow exposures for pricing purpose, and reconcile weights and payable contents throughout trades.
• Update the systems in a timely manner with information relating to quantities, pricing, quality, shipments and invoices in accordance with contracts.
• Review and upgrade current processes, and implement best practice new processes.
• Coordinate with IT to upgrade/implement automation of data, processes and workflow.
• Manage the Trade Execution function and lead the team – provide clear direction, develop capabilities, recruit to upgrade skills if/as necessary, implement a succession plan.
• Increase work efficiencies – through process, system and people.

Qualifications:

• Proven experience at Senior Management level.
• A bachelor’s degree from a recognized University in the field of logistics/finance or business management is advantageous
• CDCS (Certificate for Documentary Credit Specialist) – preferred.
• Over 10 years’ trade execution experience in bulk commodities, gained in MNCs or fast moving international environments.
• Strong knowledge of UCP, ISBP (International Standard Banking Practice).
• Proven expertise in trading contracts, LCs, other trade documentation.
• Knowledge of business and management principles involving strategic planning, resource allocation, leadership techniques, quality control, costs, and other techniques for maximizing the effective storage; handling, transport and distribution of goods production methods, and coordination of people and resources in relation to commercial operations.
• Proven track record of streamlining and optimizing processes and workflows within trade execution and between trade execution and other departments.
• Strong numeracy and analytical abilities.
• Commercial acumen and business savvy.
• Highly organized and adept at multi-tasking.
• Excellent attention to detail across every activity concurrently.
• Proficiency in trading and other IT systems.
• Must be proficient with computer and appropriate software (i.e. Microsoft Outlook, Excel, Word, etc.)
• Must also be capable of sitting, standing and walking for extended periods.
• Proficiency in both written and spoken forms of English and Chinese, effectively communicating across diverse audiences.

About the role
The Head of Employment Law, Asia will have responsibility for the following activities:

Reporting to the Legal Director, Global Employment Law and working with members of the wider global Employment Law Team (“ELT”) to support on global employment law projects, including re-organisations and other cross border projects, as well as the production and maintenance of template and precedent documents for use across Dyson’s business globally; Delivery of day-to-day employment law advice relating to Dyson’s employees across Asia (including South East Asia (Singapore, Malaysia and the Philippines), China, Hong Kong, India, Japan, Korea and ANZ); Developing the position of the employment law function within the Asia region acting as a strategic business partner and adviser, building engagement with the HR leadership team and business leaders; Providing expert, ethical and pragmatic advice on a range of complex employment law and employee relations matters; Assisting with the design, delivery and implementation of strategic projects and tech solutions aimed at streamlining and improving the way employment law services are provided to Dyson’s global business; Managing external counsel where appropriate, ensuring compliance with Dyson’s panel and cost management processes; Managing the Employment Law Team’s monthly reporting and help to use data to identify trends; Proactively identifying emerging legal risk areas and working with stakeholders across Dyson Legal and the business to implement innovative strategies to mitigate those risks; Collaborating with other members of Dyson Legal in the provision of legal services to the business, including working with colleagues globally on multi-jurisdictional projects; Facilitating the delivery of employment law training to HR and managers; and The role would support the Legal Director, Global Employment Law with the management of the ELT and would have one direct report.

About you
The successful candidate will have a minimum of 12 years of employment law experience, prior in-house experience is strongly preferred.

• In-depth knowledge in the field of structural dynamics and experimental testing.
• Proficiency in utilizing Simscape and a solid understanding of 1D modeling techniques are desirable.
• Experience in hardware and software for measurement and data acquisition (e.g. Flow meters, National Instruments, FLIR, Electronics Tester, etc) would be useful.
• Experience in Image analysis would be useful.

Job Description

As a (Senior) Operations & Projects Executive at The Working Capitol & Triple P Group, you will play a pivotal role in shaping and elevating our brands by ensuring a seemless operations & projects experience for all our members and partners by working with all stakeholders. You will be the enabler that ensure our operations & projects are well maintained to support new tenants, collaborating closely with the Facilities team, Sales Team, Marketing team etc to maintain projects across our portfolio of properties. Your work will enable us to provide an exceptional on/offboarding tenant experience at our spaces to continue to become Best Remote Work Solutions Provider & a Great Place to Work.

Key Responsibilities

Project Management Responsibilities:

• Assist in Project Oversight: Collaborate with the Design & Engagement Manager to obtain fit-out and design themes.Work with the Facilities team to prepare offices for new tenants, ensuring all defects are documented and addressed before move-in to ensure smooth on/offboarding and operations and ensure all works adhere to legal regulations
• Manage Project Schedules: Develop and maintain comprehensive project timelines using tools like Monday.com and Airtable, regularly updating based on progress and addressing potential delays proactively.
• Vendor Management: Oversee the selection, negotiation, and contract management of vendors for projects. Ensure timely and high-quality delivery from contractors. Ensure compliance with company’s procurement policy. Including budget management on OPEX and CAPEX.
• Liaise and maintain good landlord-tenant relationships and attend to tenants’ requests/feedback.
• Defects Management: Conduct thorough inspections to identify defects in construction or maintenance work and implement an efficient tracking system for resolution.
• Track and Update Job Completion Timelines: Monitor progress on assigned tasks, update project timelines, and communicate potential delays to stakeholders.
• Sustainability and Signage: Collaborate with facilities to implement sustainability messages and signage across all locations.
• Ensure smooth operations on site(s) and facilitate incident investigation whenever necessary. Liaise with government authorities/ statutory boards and other divisions on matters relating to operational management and projects as needed.
• Handover/Takeover: Oversee & document the handover and takeover process.

Operations Responsibilities:

• ⁠Conduct Site Inspections: Perform regular walk-throughs to ensure facilities standards are met, raising any concerns for follow-up and aligning schedules with the Facilities team.
• ⁠Address Community Requests: Respond promptly (within 48 hours) to complaints and requests from community members regarding operations and project matters, taking immediate action to mitigate risks.
• ⁠Vendor Relationship Management: Assist in managing vendor relationships for ongoing maintenance contracts, ensuring all documentation is updated and saved centrally.
• ⁠Facility Maintenance Requests: Work with the Facilities team to address simple repair and maintenance tasks as needed, coordinating with finance/sales for tenant charging matters.
• ⁠Completion of Checklists: Prepare and ensure completion of required checklists for all project and operational activities.
• ⁠Ad-hoc duties: Assist with any other responsibilities of our business operations (For instance: front desk duties)

Requirements:

• Minimum Diploma in Property Management/Building Management/Estate Management/Facilities Management/Engineering or equivalent with 3-5 years of relevant experience in facilities operations management preferably in heritage shophouse management
• Able to work under pressure and meet tight deadlines with a calm disposition
• Comfortable with moving to different locations (central/near central)
• Strong communication and interpersonal skills to communicate professionally with both internal and external stakeholders to ensure operations & projects are well managed with positive feedback from tenants/members & employees.
• Knowledge of and conversant in the Building Maintenance & Strata Management Act
• Strong listening skills
• Proactive and takes initiative with a problem-solving approach
• Strong attention to detail,good planning and time management skills
• Teamplayer
• Possesses a valid Fire Safety Manager or First Aiders certification or WSH certifications
