Role and Responsibilities

• Assisting in recruitment activities including job advertisement posting
• Assisting in onboarding for new hires and off boarding process for resigned staff
• Monitoring and assisting in work pass administration including new application, renewal, cancellation and purchasing of security bond, etc
• Assisting in payroll administration including computation of overtime hours on excel worksheet
• Monitoring and keeping up-to-date training records
• Administration of leave and medical benefits
• Setup and maintain personal files for employees
• General Office administration including monitoring of equipment maintenance and keeping records on machinerines, vehicles, equipment and office supplies
• Any other adhoc duties

Requirements:

• At least 4 years relevant work experience as HR/Admin generalist
• Have a good sense of urgency, meticulous and demostrate initiatives with good follow-up skills
• Able to work independently, multi-task and a good team player and able to work in fast pace
• Proficient in Microsfoft office applications and experience in payroll software advantageous
• Must have a good attitude of motivation

· Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position

· Full comprehension of office management systems and procedures

· Excellent knowledge of MS Office

· Proficiency in English

· Exemplary planning and time management skills

· Up-to-date with advancements in office gadgets and applications

· Ability to multitask and prioritize daily workload

Our client is an US MNC, one of the largest players in the life-science sector. Due to business needs, they are now recruiting for a Procurement Assistant to be part of their team for ongoing transformation projects.

This is a 1 year contract (Convertible) role. They are located at Buona Vista – Walking distance from the MRT station.

5 days work week - Monday to Friday (8.30 am to 5.30pm)

Training will be provided for Entry Level (structured training programs)

Duties

• Check, sort and process invoices and verify them against SAP system.
• Liaise with vendors and users for invoices, credit note, installation dates etc.
• Any other Ad-hoc duties

Requirements

• Possess minimally a Nitec/Diploma in Supply Chain
• Knowledge in SAP

Clinic Assistant

• Administering patient consent before commencing research procedures.
• Scheduling appointments for health screenings and managing follow-up reports.
• Coordinating and accompanying patients for lab tests if necessary.
• Delivering high-quality service and care to all patients.
• Performing various health examination procedures, such as Anthropometric measurements, Blood Pressure measurement, Retinal Imaging, ECG, Visual Acuity Test, Spirometry, and Hand grip measurement.

Requirements

• Match purchase orders to invoices and perform invoice entry into ERP
• Process payments through receiving, processing, verifying and reconciling invoices
• Identify and flag out any irregularities detected during invoice processing
• Record expenses to accounts and cost centers based on the invoice nature
• Perform monthly payment runs to suppliers and employees
• Perform supplier reconciliation on monthly basis
• Filing documents
• Perform bank reconciliation for payment
• Prepare balance sheet schedules
• Attend to supplier’s enquiries
• Any other tasks/projects assigned by immediate supervisor

Requirements

• Diploma in Finance/Accounting
• 1-3 years accounts payable / general accounting experience
• Knowledge of accounts payable and general accounting principles
• Proficient in relevant ERP system (Dynamics AX) and MS Office
• Knowledge of regulatory standards and compliance requirements
• Attention to detail, good communication, time management and organisational skills
• Team player and able to work independently with minimal supervision
