About ASEF Communications Department (COM)

COM promotes Asia-Europe cooperation by raising awareness and knowledge about ASEF, ASEM and Asia-Europe relations. Aimed at a diverse range of constituencies including the media and general public, COM’s activities foster greater mutual understanding between Asia and Europe. Among the seven thematic areas of ASEF, COM is responsible for Media. Through its projects, COM creates unique networking platforms for the exchange of views and ideas, as well as cooperation among media professionals from Asia and Europe.

COM is also responsible for ASEF’s corporate communications. COM supports the Executive Director on ASEF’s messaging and outreach, and is custodian for ASEF’s brand and identity. It manages the ASEF websites and related digital assets, and coordinates project communication by ASEF Project Departments (PDs) and ASEM-related bodies.

About the Position

ASEF is looking for a hardworking, experienced and creative Senior / Project Executive, who is also a good team player and can contribute to the achievement and furthering of COM’s mission. He/she reports to the Director of Communications and works closely with rest of the COM team.

The appointment is on a one-year contract basis, with an initial 3-month probation period.

Key Responsibilities

• Contribute to development and implementation of ASEF’s Communications and Strategy
• Conceptualise, organise and implement media projects and where necessary, other ASEF-related programmes.
• Provide policy support, including on ASEF’s corporate branding/messages.
• Draft reports, proposals and/or provide input for speeches and meetings.
• Coordinate with other PDs, including on publicity of ASEF events and on ASEF’s monthly e-newsletter.
• Manage corporate gifts and inventory.
• Manage, monitor and enhance ASEF’s website and social media
• Identify relevant content for ASEF website and social media, including Facebook, LinkedIn and X, to generate greater interest in ASEF’s work.
• Develop and implement strategies to increase ASEF’s online outreach. Review website and social media platforms. Use analytics to identify ways to improve UXUI and audience’s interest.
• Ensure consistency of ASEF messaging across all ASEF social media platforms.
• Manage migration to new systems.
• Manage ASEF’s public account, including drafting responses where appropriate.
• Manage COM’s equipment and digital assets.
• Where relevant, train and build in-house capacity on COM and media-related matters.
• Support other COM initiatives, projects and administrative tasks that may be assigned by the Communications Director.

Key Competencies & Skills Requirements

Qualifications & Experience

• Bachelor’s degree holder (graduate degree would be an asset) with at least two to six years of work experience in a relevant field.
• Experience working with the media/running a social media campaign would be an advantage.
• Experience working in an international organisation, and knowledge of or prior experience in international relations would be an advantage.
• Experience in project management/coordination, social media communication, content creation, online engagement and/or event promotion would be an asset.

About the Role:

About the Role

• Ensure the proper register of all Pressure Vessels, PSV, Boilers and all others static equipment by developing datasheets and inspections reports and filling in the integrity management software (SGI) with reliable and updated data on this equipment.
• Contribute to fleet performance improvement by constantly cooperating with other Tiers and Modec entities, to absorb and apply all lessons learnt from other Unit Phases (Commissioning, Operation, Maintenance, Decommissioning) for the new vessels in construction, as well as provide new lessons learnt and improvement opportunities discovered during the Pre-Ops project.
• Sporadic follow ups in the shipyard during the Construction Phase and visits to vendors' factories might be required for these activities.

Job Responsibilities

RESPONSIBILITIES

• Live studio direct News & Current Affairs programmes in both automated and traditional galleries. Content is not limited to broadcast content. May be required to support digital from time to time.
• This position is responsible for the execution of live studio programming using a Vizrt Mosart Automation system. The responsibilities include but are not limited to using studio equipment to build effects and templates for coding and execution of studio shows via Octopus rundowns.

The Job

JOB DESCRIPTION

· Answer phone enquiries and orders professionally and efficiently with the use of good telephone techniques, customer service, speed and accuracy

· Prepare and handle full set of shipping documents including but not limited to submission of dangerous goods form to carrier if necessary, transhipment and export permit, master bill of lading, house bill of ladings, certificate of origin application, tax invoice and arrival notice

· Send stuffing photos, tally sheet, shipping note and final summary to overseas agent/partner

· Arrange for cargo pick up, permit clearance and transfer; and attend to customer queries; and engage haulier services when necessary

· Check commodity harmonized system code if applicable

· Manage and coordinate the flow of information between customers, warehouse and the transport team concerning the status of orders, incoming shipments, arrangement for cargo pick up, engagement of haulier services, unstuffing of incoming shipments, delivery arrangement, wrong orders, returned/damaged goods, unavailable loading bay at customer site, direct reject of orders at point of delivery, etc

· Ensure that critical information with regard to urgent delivery, special timing request are communicated and follow up with the transport team till completion of delivery

· Liaise with customers to evaluate and establish actual reason for direct reject of orders at the point of delivery; and rectify the error when necessary and work with finance to process credit note promptly and accurately

· Work closely with accounts team to:

a. Resolve and reconcile credit note discrepancies against payment made by customers;

b. Resolve and reconcile price error in orders and generate price difference credit note upon receipt of approval from customers and the Company

· Exercise good customer service skill when managing difficult customers and/or customer complaints

· Verify and analyse information gathered from customers’ feedback; and resolve the issues on the spot whenever possible. Otherwise, work closely with the relevant department to ensure customer complaints are appropriately addressed, service recovery are carried out promptly and preventive actions are in place to prevent recurrence of similar issues
