We are a pets and children-focused outdoor lifestyle venue seeking a highly organized and dynamic Programming and Events Executive to join our team and take charge of on-site events. The ideal candidate will be responsible for conceptualizing, planning, and managing the various aspects of our events, ensuring seamless execution and exceptional visitor experiences. You will be supported by the marketing and operations departments to deliver the perfect event. Job Description & Requirements:

• Conceptualise, coordinate, and execute on-site events with various themes and scales, including monthly artisanal markets, Christmas markets, and other seasonal events
• Collaborate with different stakeholders to ensure the smooth implementation of event plans
• Manage all aspects of events from ideation, and vendor sign up, to event wrap up
• Assist with the marketing of the event including creating simple marketing collaterals and managing social media platforms
• Design programs and activities to make casual visits to our venue more exciting and fun
• Work closely with tenants to develop collaborative promotions and offerings, to enhance visitor experience through overall activities to drive footfall
• Handling the marketing and leasing of advertising and other spaces
• Develop and maintain relationships with vendors and suppliers, negotiating contracts and pricing to optimize resources and enhance event quality
• Anticipate potential issues and proactively identify solutions to ensure events run without disruptions
• Monitor event budgets and expenses, keeping track of financial aspects related to on-site logistics including procurement of event requirements

Job Requirement:

• Diploma or higher in event management, marketing, hospitality, business, or a related field
• Proven experience in managing on-site events will be advantageous
• Strong organizational and multitasking skills, with meticulous attention to detail
• Excellent communication and interpersonal abilities to collaborate effectively with diverse teams and stakeholders
• Ability to remain calm under pressure and adapt to changing circumstances
• Problem-solving skills and a proactive attitude toward overcoming challenges
• Flexibility to work weekends as required by event schedules (in exchange for off-in-lieu)

Working Timing (s):

Monday - Friday: 9am to 6pm

Saturday: 9am to 1pm

• Acquire new business accounts for corporate services, company secretary, accounting, tax, employment and business consulting services;
• Develop and maintain prospects pipeline for sales conversion;
• Follow up leads referral through existing clients and partner network;
• Maintain, deepen and expand existing client relationship;
• Maintain good knowledge on all products and services offered by the company;
• Coordinate with operation team to deliver efficient business services to clients
• Provide after-sales support

Description

Support the business development team in all aspect of the general administration including but not limited to, maintenance, leasing, insurance, office equipment and purchasing of support.

Responsibilities

• Assist in handling day to day administration, maintaining records, filling, purchase order preparation, petty cash claims and document control.
• Management and maintain all filing, inventory and client database
• Responsible for coordinating Corporate Communications for the Company.
• Co-ordinate all aspects of the Company Website, including updating of website every 3 months when necessary, and an overall revamp of the website once every 5 years
• Co-ordinate corporate materials including artwork and contractors/suppliers for Events & Exhibitions
• Support Customer Appreciation Activities e.g. events, gifting
• Co-ordinate Customer Satisfaction Surveys in line with Company ISO Policy
• Source & procure marketing collaterals including Corporate gifts
• Regular scanning of media, specifically newspapers for related and relevant articles and to collate these articles weekly for dissemination to management.
• Co-ordinate various licenses/ renewal/application e.g. BCA Contractor’s Registry, I.E Singapore’s Double Tax
• Co-ordinate interviews, photography session, provision of information for Directors/staff for media enquires/interaction
• Work closely with BDD team to develop Corporate Presentation and update once every 6 months
• Co-ordinate collating of Corporate Info Pack, including Corporate Presentation
• Work closely with BD Executives to assist with HR needs
• Maintain HR related records in the share space, Responsible for Rotary Intranet (BDD)
• To be proactive in creating a safe working environment for everyone and ensuring that HSE in-house rules are observed at all times.
• To consider HSE aspects when planning and carrying out tasks to eliminate and reduce HSE hazards, aspects and risks.

Requirements

• Preferably GCE O / A Level or Diploma in Business Administration
• Preferably 2 year experience handling general administration and/or secretary’s duties.
• Proficiency in MS Words, Excel and Power Point

• Assist & support the HR Managers on the full spectrum of HR duties, day-to-day management of HR operations, and other events & projects. (e.g Employee engagement pgms)
• Monitor & process all work passes renewal and applications
• Preparation of Employment contract, memos, and other necessary letters & correspondence
• Liaising with dormitory, vendors and related parties, and internal customer
• Manage the medical claim records and others that are relevant
• Verification of OT and allowances for payroll processing
• Handle the recruitment, onboarding, and off-boarding process
• Maintain & update the HR system
• Handle training & development e.g courses planning, records update, sourcing, and registration
• Manage the employee's communication e.g announcement of policies, events, etc
• Other administrative duties
• Ad hoc duties

Job Requirement

• Diploma with 2 years of relevant HR and Administration experience
• Demonstrate ability to handle multiple priorities, work independently and collaborate with team members.
• Meticulous with an eye for detail
• Proficient in Microsoft Excel

Responsibilities

• Handling full sets of accounts.
• Assist in month-end, quarterly and year-end closing.
• Execute day-to day accounting responsibilities, such as handling accounts payable, receivable including processing invoices, payment and refunds and recording journal entries.
• Assist in preparing of GST reports for quarterly submission
• Weekly bank balance reporting
• Support the annual audit process by furnishing necessary documentation.
• Work closely with interdisciplinary teams to ensure accuracy of financial data.
• Other ad-hoc accounting work as assigned by the management

Requirements

• Diploma / Degree in Accountancy or equivalent
• Full sets accounts experience
• Able to work under independently
• At least 5 years of relevant experience
• Proficient in reading and writing in Mandarin and English

• Responsible to provide support in the human resource department in foreign worker management.
• Handle end-to-end work passes related issues such as application, renewal, cancellation, appeal, expiration, follow up with medical check-ups, updating personal particulars to MOM, etc.
• Work directly with and assist the hiring managers of different functions to fulfill a variety of necessary HR tasks regarding to foreign workers
• Track and maintain HR data of foreign workers, conduct weekly briefing for new foreign hires and administration of housing regulation checks.
• Speak with Agents on hiring requirements
• Drafting Simple LOA/ agreement for foreigners.
• Perform other adminisration duties as assigned
