Job Description

• Overseeing shipment loading and unloading, handling day-to-day operations for the warehouse and creating shipment schedules
• Prepare and pack items for shipment, ensuring that they are securely packed and labeled correctly
• Monitoring inventory levels using software programs and initiating transportation or shipments when inventory levels become too low or high
• Enforcing facility security and employee safety measures to ensure that the warehouse adheres to the government’s safety standard
• Examining related materials and goods to identify defects and check the quantity
• Overseeing teams and staff, assigning staff schedules, organizing employee training and developing teamwork initiatives

· Dust and polish various surfaces and furniture

· Vacuum, sweep, mop floors and empty trash bins.

The Accounts & Admin Executive supports the finance department in carrying out the responsibilities of the accounting department.

She is involved in work that is specific to accounts receivable, accounts payable, tax filing, data compilation, billing or other accounting tasks.

She may also assist with the preparation of trial balance, basic financial statements.

Duties & Responsibilities:

• Maintaining bookkeeping and office accounting needs
• Prepare financial reports and statements
• Record transactions and events
• Compile the relevant business documentation
• Managing basic office administrative tasks including filing, printing, reporting and emailing
• Any other ad-hoc duties and office administration as assigned by management

Education & Qualifications:

• Candidate must possess at least Diploma in Finance/Accountancy/Banking or equivalent
• At least 1 Year of working experience in the related field is required for this position
• Knowledge in UBS / Million Accounting Software will be an advantage

Reporting to the Team Lead, you will manage various initiatives that would promote and strengthen strategic relations across the SingHealth Duke-NUS Academic Medical Centre (AMC) and its stakeholders. This includes the facilitation of external collaborations and coordination of joint partnership programmes across SingHealth, Duke-NUS Medical School, NUS, and Duke Health in Durham, USA.

You will manage the AMC website, which includes overseeing the functionality of the website, evaluating website performance, developing new web content, and ensuring timely and clear information dissemination on Academic Medicine initiatives. You will also partner the Academic Clinical Programmes (ACPs) in developing effective outreach efforts to engage clinical leaders, faculties, researchers and administrators across various institutions. As part of the Academic Liaison and Strategic Relations team, you will manage the planning and coordination of Academic Visits, Academic Sharing events and communications efforts in Academic Medicine (e.g. collaterals/posters, webinars, events and conferences).

Another key responsibility includes managing the process for joint appointments of ACP Leadership positions and organising AMcompass induction sessions and online resources. Other aspects of academic liaison and communications include support for academic exchanges, joint appointments for faculty with Duke, coordinating academic visits and the academic visiting scholars programme.

To facilitate collaborations, the job holder will also organise and coordinate various projects and initiatives to support faculty networking, coordinate NUS visitor accounts and access, procurement support, IHL grants, Duke-NUS fixed assets management and other academic partnership activities with Duke-NUS/NUS/Duke. Other secretariat duties include liaison with partnering departments to coordinate approvals at the AMC leadership meetings.

Requirements:

• Degree with at least 2-4 years’ relevant experience and strong track record of stakeholder management, and driving multi-faceted projects with good outcomes
• Good organisational skills with the ability to carry out analytical and coordination work
• Experience in managing events, communications and websites will be advantageous
• Excellent command of both spoken and written English
• Proficient with Microsoft Word, Excel, Powerpoint, Canva, Tableau
