Manage the day-to-day activities of the procurement, both Furuno and non-Furuno equipment, parts and accessories. Responsible for optimising overall inventory and reducing the slow-moving and surplus items within FSG group companies. A team of procurement team personnel is also under the responsibility of Procurement Manager to support the entire procurement process of the company.

• Provide leadership in the procurement team and manage manpower planning and requirements.
• Build and maintain good working relationships with customers, suppliers, and vendors.
• Establish and conduct regular reviews of procurement procedures and policies, including inventory documentation, listing, and policies across the relevant departments.
• Work closely with other departments to plan and forecast demand for Furuno products, analyse trends, and update spreadsheets monthly.
• Liaise with suppliers, especially with Furuno HQ in Japan, to manage our backorders at FEC and shipments from FEC to us, considering the possibility of unexpected production/delivery delays.
• Involve in planning, sourcing, and recommending suitable materials, products, goods, and services in accordance with desired purchase conditions from local and overseas suppliers and vendors.
• Negotiate the best purchase price and payment terms and regularly review the cost-effectiveness and performance of suppliers and vendors based on market conditions and price trends.
• Determine the best purchase policy and select appropriate suppliers/vendors for bulk purchases.
• Ensure timely processing of purchase order requisitions, co-ordinate delivery schedules & timing with suppliers/vendors to meet the required delivery schedule, and check product quality when goods are delivered.
• Responsible for cost-down and localisation of parts without any compromise in quality. Minimize material freight expenses.
• Keep updating the centralized database of suppliers and vendors.
• Manage the Vendor Qualification procedure and compliance.
• Constantly identify new potential suppliers and vendors to ensure redundancy.
• Monitor the progress of specific procurement contracts.
• Conduct periodic inventory control checks to ensure that inventory levels are consistent with internal records and integrity of master stock data, including the creation of part numbers and purchasing planning parameters, to minimize material liability and to balance the cost of procurement with inventory levels. Report any irregularities immediately.
• Resolve any irregularities, recurring critical issues, and/or non-compliance issues with suppliers and vendors concerning purchase orders, payments, or any conditions of purchase.
• Support the Sales Team in the preparation of a List of Materials and Documentation for project inquiry/tender handling.
• Support the Sales Team & Project Team on the procurement of products based on the checklist for data and documentation requirements.
• Arrange and obtain quotations for purchase orders of non-trade items, including capital expenditure items where necessary.
• Verify invoices against purchase orders to ensure compliance with all conditions of purchase before payment.
• Comply with all legal, safety and health regulations.
• Ensure procedures are in place to support compliance with J-SOX, ISO9001, and ISO45001 requirements and participate in Internal and External Audits.
• Monitor all resolutions provided to stakeholders are effective, conform to industry standards and legal conformity, and meet customer expectations.

Job Description:

Requirements:

• Min. Diploma or Degree holder with at least 5 years relevant experience in electronics components

As a Purchasing Manager, you will be responsible for overseeing all aspects of the purchasing process, including order processing, team management, record keeping, negotiation, and vendor relationship management.

KEY RESPONSIBILITIES:

• Manage daily purchase for Outlet operations

• Request for quotations from suppliers for new/alternate items

• Establish and maintain relationships with key suppliers and vendors.

• Stay updated on market trends related to food products, prices, and suppliers to make informed purchasing decisions.

• Ensure all purchased items meet the stringent quality standards including periodic visits to suppliers and random quality checks.

• Source for appropriate products and services with the best possible pricing and payment terms by manner of quotations from suppliers

• Monitors all costs in the Purchasing Department and initiates and maintains measures to control these.

Internal and External Relationship Management

• In charge of daily operational purchasing activities which includes planning, monitoring, communicating, processing and following up on purchase orders with the suppliers.
• Primary point of contact for internal and external stakeholders to request for purchases and procurement related matters.
• Researching potential vendors, comparing and evaluating offers from suppliers. Organise relevant information to contribute to negotiation efforts with vendors and negotiating contract terms of agreement and pricing.

Inventory Management

• Assist warehouse team and manage inventories by making appropriate recommendations for inventory levels and replenishment planning.
• Sourcing of goods and services including obtaining cost/quotes, specifications, and delivery lead time.
• Track orders and ensure timely delivery.
• Coordinate with warehouse staff to ensure monitor stock levels and place orders as needed.
• Enter order details (e.g. vendors, quantities, prices) into internal databases/system.

Administration and Reporting

• Prepare the report for Monthly KPI/PRD/Summary listing reports for submission to relevant department.
• Prepare monthly forecast and provide insights reports to Finance.
• Ensure correct documentation, specifications and contract.
• Prepare and format all new vendor suppliers and product information within the internal system.
• Matching of invoices and delivery orders to Purchase Orders. Manage and maintain accurate purchase and pricing record; compiling records with Purchase Order for Accounting Team’s billing reference.

Job Requirements

Job Summary

The Contract Specialist will act as a key member of the Supply Chain (Procurement) team and will be responsible for drafting, reviewing and negotiating supplier contracts or subcontracts. This includes handling standard supplier contracts in the field of 3rd party personnel, equipment, MRO, etc., as well as managing subcontractor agreements. The Contract Specialist will ensure that contractual risks are identified, properly evaluated, and mitigated.

About the Role

• Draft, review and negotiate supplier contracts (including sub-contracts) in line with templates provided by Legal and Fugro policies.
• Act as a key member of the Supply Chain (Procurement) team, participate in commercial and legal discussions with internal stakeholders and suppliers to ensure that contractual risks are identified, properly evaluated, and mitigated. Raise awareness of contractual risks with internal stakeholders.
• Incorporate contract-flow down clauses from the client contract into the subcontract, in alignment with the Legal team
• Ensure proper procurement contract management, comprising negotiating the terms and conditions of contracts. Procurement contracts also include certifying compliance with the terms and conditions and documenting and agreeing on any changes by both parties.
• Promote the principles of good procurement and contract management practice throughout the company
• Responsible for preparation/review of all relevant contractual correspondence exchanged during project execution to and from the suppliers, subcontractors, and authorities.
• Monitor all contract deliverables and the contract performance as well as identify risks and opportunities. Support handling of supplier claims.
• Assumes overall responsibility for all contractual and commercial issues related to the management of change, including ensuring claims are issued within the timeframes set out in the contract and receiving all required internal approvals preparing, interfacing with involved functions, and negotiating any claims against partners and subcontractors
• Works closely with internal stakeholders: Supply Chain (Procurement), Finance, Legal, Insurance, Fleet Services, project managers, operations managers and various business stakeholders.

About you

• Law degree preferred though Business degree with strong contract management experience will be acceptable
• 5-10 years’ experience with contracts
• Experience in Maritime/ EPC/ Engineering companies is preferred. Project procurement experience (with EPC companies and/or offshore projects) is a plus.
