• To elaborate the Master Production Schedule for our VAS Labelling Operation based on available capacity, customer deadlines and orders readiness.

Job Description

Student Attendance

· Monitor and record student attendance daily using the biometric thumbprint system and other tools.

· Identify students with low attendance and issue formal warning letters in accordance with institutional policies.

· Take appropriate follow-up actions to address and rectify attendance issues.

· Contact students who have been absent to remind them of their responsibilities, using email or phone calls as necessary.

· Conduct periodic visits to classes to ensure that students are attending as expected and address any attendance-related concerns.

· Offer guidance and counseling services to students, addressing their academic and personal concerns.

· Work with administrative staff to ensure that attendance records are integrated with other student records and systems.

Student Personal Files

· Maintain and update student personal files (p-files) with accurate and current information, including personal details, academic progress, and any other relevant records.

· Ensure accurate entry of new data and timely updates to existing records to reflect changes in student status or information.

· Organize and categorize student files systematically for easy retrieval and efficient management.

· Prepare necessary documents related to student records, including transcripts, enrollment confirmations, and certificates, in a timely manner.

Student Inquiry

· Carefully listen to and understand the nature and specifics of student inquiries.

· Provide clear, accurate, and concise responses to student inquiries, ensuring that information is easily understood.

· Evaluate the effectiveness of support provided and make necessary adjustments to better meet student needs

· Provide pastoral care and support to students, addressing personal and academic concerns.

· assist in organizing and coordinating student affairs activities, such as orientation programs, workshops, and social events.

· Address and manage any other operational matters related to student services and administrative functions.

Facilities Management

• Plan and manage all maintenance, repair, renovation, and upgrade works of in collaboration with the facilities office.
• Manage room booking by Student Organizations and administer IT systems (e.g. card access and CCTV).
• Oversee the scheduling of duty personnel.
• Oversee the maintenance of the office, including air-conditioning servicing, carpet shampooing, routine inspections, and equipment repair/replacement.
• Manage office reconfigurations, renovations, and workstation allocations.

Logistics Management

• Manage the equipment loan service for student organizations and track usage statistics to recommend replacements as needed.

Administrative Support

• Maintain lists of authorized student organization representatives for facility bookings.
• Collaborate across departments to support future phases of EFBS development.
• Centrally manage Student Assistants engaged and work internally with other teams to deploy them for duties.
• Manage CCA Certificate requests.

Secretariat Support

• Provide secretarial support to the Director of Student Affairs, including
• Scheduling appointments
• Organizing meetings
• Preparing documents (end-to-end)
• Note-taking
• Managing email
• Arranging travels
• Other ad-hoc duties
