Key Responsibilities:

• Assisting sales team to provide sales support for their own pool of clients & schedule appointments.
• Assist to generate new sales leads.
• Learning from various departments to understand the nature of business.
• Maintaining an updated client database & generating detailed weekly reports for review by senior management.
• Submission of business & reimbursement policy forms with great efficiency.
• Writing an essay report on current financial trends (if required).

Role

As a Clinic Assistant in a pediatric clinic specialising in special needs children, you will be the first point of contact for telephone, email, in-person, WhatsApp, and any other communication channel adopted.

Role & Responsibilities

• Greet and meet people coming and direct them to appropriate areas
• Efficient handling of call inquiries and providing general information of services.
• Screen telephone calls, emails, WhatsApp, and any other communication method adopted, record and relay messages
• Administer registration, take referrals, schedule appointments, and maintain efficient appointments time slots and package sessions
• Generate and calculate invoice, record, collect payment, and issuance of receipts on time
• Handle changes in billing, refunds, and credits.
• Handle closing, settlement, and payment collection
• Support operation functions as and when needed
• Monitor general hygiene and cleanliness
• Any other ad-hoc duties assigned by the management

Requirement

• Fresh diploma holders
• GCE ‘O’ Level or equivalent with 2 years’ working experience in administration, customer service and/or receptionist role

General responsibilities, duties, and responsibilities include but not limited to:

• Monitor cash-flow of the organisation by monitoring income, expenditure, and investments
• Maintain receipts and records for all the business transactions
• Preparing balance sheet, invoices, etc
• Monitoring transactions, identifying irregularities in invoices, monitor bank deposits and payments, etc.
• Assist in financial audits

Responsibilities:

• Conduct & record blood pressure measurement.
• Assist in setting up equipment.
• Assist the physiotherapists in assisting & supervising members in the performance of exercises.
• Monitor members during therapy sessions to ensure their safety and well-being.
• Perform basic data entry and data retrieval.
• Creating, filing, and maintaining members' database.
• Follow-up with members.
• Perform cleaning of equipment regularly or when required.
• Perform routine checks on equipment & assist in infection control.
• Any other duties assigned by physiotherapists.

Requirements:

• Minimum GCE ‘N’ or ‘O’ levels.
• WSQ Certificate in Therapy Support or relevant healthcare certificate preferred.
• Has the heart to serve.
• A team player with good interpersonal and communication skills.
• Proficient in English and 1 other language (Mandarin, Malay, or Tamil). Ability to converse in local dialects will be an added advantage.
• Service-oriented and patient-focused.
• Basic computer skills in Microsoft 365.
• Experience in caring for Persons with Parkinson or relevant years of experience would be an added advantage.

Daily Task

1.Prepare condo folders and keycards.

2.Prepare top ups and send to condo/ Raeburn/ amber.

3.Assist in arranging Tony’s schedule.

4.Update availability of statement of Utilities.

5.Request and follow up meter reading in meter reading group.

6.Prepare monthly and check out PUB utilities Invoices.

7.Check, send and reply emails, follow up utility payments.

8.Daily attendance of ISA Staffs.

9.Update and record the types of leave application.

10.Update inventory/Furniture movements.

11.Co-ordinate and follow up furniture movement with operation team.

Weekly Task

1.Create Utilities invoice in Xero system once approved by Manager.

Monthly Task

1.Office monthly stock check.

2.Raeburn monthly stock check.

Ad hoc task:

1.Assist Raeburn stock check.

2.Prepare procurement for Raeburn/ Amber/ Condo and office

3.Arrange moving in or out of furniture (via our company van)

4.Prepare refund of deposit (Relief Connie).

5.Reconciliation of bank statement (Relief Connie).

6.Daily Amber cash settlement (Relief Connie).
