Administrative Assistant

The administrative assistant is responsible for providing personalized secretarial support to the COO as well as administrative support in a professional and timely manner. The administrative assistant works one-to-one with the COO on a wide variety of matters. The candidate must be flexible to meet the demands of our growing organization.

Duties & Responsibilities:

• To perform the full spectrum of coordination and administrative duties, including invoicing, data entry, documents filling etc.
• Efficient document management such as printing and filing of the documents
• Prepare sales quotations generate invoices, maintain a detailed sale, customers payment and delivery records
• Assist with day-to-day operations of the office
• Monitoring of office supplies
• Perform secretarial support to COO
• Ensure the cleanliness of the office
• Handle recruitment process such as posting advertisement, phone screening for shortlisting, arranging interview and etc.
• Help to organize new employee orientation, on-boarding and working schedules
• Attend to employee enquiry on HR related policies and practices
• Other administrative duties, tasks as assigned by COO

Requirements:

• 1-2 years of relevant experience
• Diploma or equivalent
• Proficient in MS Office and Excel Software
• Proficiency in English
• Ability to multitask and prioritize daily workload
• Good verbal and written communications skills
• Ability to manage multiple projects simultaneously with effective time management skills

Roles & Responsibilities

• Data entry and record keeping.
• Process invoices, receipts, and payments.
• Reconcile bank statements and other financial documents.
• Prepare full set of monthly account for small entity.
• Generate and issue invoices to customers.
• Monitor and follow up on overdue payments.
• Manage vendor relationships and process payments.
• Handle staff claim, petty cash reimbursement and bank matters.
• Handle general administrative tasks such as answering phones, responding to emails, and filing documents.
• Maintain office supplies and ensure the smooth operation of office equipment.
• Any other duties as and when assigned.

Requirements

• Min. 1 year of relevant working experience.
• Diploma in Accounting or LCCI
• Bilingual English and Mandarin (to liaise with Mandarin speaking China colleagues)
• Proficient in Microsoft Word and Excel
• Good team player
• Willingness to learn, take on added responsibilities for company and personal growth
• Able to work independently with minimum supervision
• Knowledge of MYOB and Autocount accounting software

YOUR TASKS & RESPONSIBILITIES

• Sale of structured products and/or other derivative transactions across all asset classes and payoffs to an existing book of Private & Retail Banking clients
• Pro-active management of existing business relationships in Asia and increase share of wallet
• Acquisition and development of your own book of Private & Retail Banking clients in Asia
• Generate own tailor-made trade ideas based on current market environment and liaise with structuring and trading for pricing
• Execute trades and ensure a smooth booking and settlement process as well as after-sales services
• Monitoring of transactions, coordination with other departments such as Sales Support, Product Services, Mid-Office and Back-Office
• Develop the Leonteqentrepreneurial and service orientation spirit

OUR REQUIREMENTS

• At least 1 year of relevant work experience within a financial institution as a sales at a structured products desk covering Private & Retail Banks based out of Singapore or Hong Kong.
• Profound understanding of structured products and derivatives in general
• Finance degree or equivalent certification
• Strong excel skills (including coding of simple macros)
• Fluent in English (another Asian language is a plus)
• Open-minded, thoughtful and proactive approach
• Ability to think strategically, drive change and implement projects
• Excellent interpersonal, analytical and problem-solving skills
