This position serves as the U.S. State Department seconded official with duties as a Program Director at the Asia Pacific Economic Cooperation (APEC) forum Secretariat, a 21-member international economic organization. The incumbent supervises two Program Executives and takes operational direction from the APEC Secretariat’s Executive Director through the Chief of Staff. The incumbent reports to the Director of the Office of Economic Policy in the East Asia and Pacific Affairs Bureau (EAP/EP) of the State Department.

Requirements:

• A bachelor’s degree in international relations, political science, business management, public policy, economics or host country equivalent, AND minimum five (5) years of progressively responsible experience in developing and implementing policy, overseeing the planning and executing of multi-faceted international development programs and/or projects in government, international organizations or closely related fields is required, OR
• At least two (2) years of college or university studies in any field or other equivalent post-secondary education, AND minimum seven (7) years of progressively responsible experience in developing and implementing policy, overseeing the planning and executing of multi-faceted international development programs and/or projects in government, international organizations or closely related fields is required.
• Must have fluent, strong English oral and writing skills.

• Familiarity with political and economic developments in the Asia-Pacific region, and background in economic policy.

• Ability to develop expertise and provide professional advice to U.S. policy makers, APEC Secretariat leadership, APEC members economies, and APEC fora leadership and stakeholders.

1. Office and Administration

• Manage all general office matters.
• First contact answering incoming office calls, screening and re-directing phone calls.
• Greets visitors and directs them to appropriate people/meeting room.
• Organize outgoing mail, courier services and business cards.
• Ordering/purchasing office and pantry supplies for Sales office.
• Managing service providers – Cleaning company

2. Facilities Management (Sales office)

• Keeps a record of all utilities maintenance contracts and arranges for renewal upon expiry; sources and compares the market rate, provides quotations for review and approval.
• Attends to the annual renewal of mandatory facilities licenses in a timely manner.
• Attends briefing sessions organized by landlord relating to building. upgrades/renovation projects.
• Coordinates participation in the Fire Drill organized by the landlord and Singapore Civil Defense Force.
• Maintains office/pantry utilities and organizes service/repair when required.

3. HSE (Health, Safety and Environment) – Site Coordinator for Sales Office

• Assist in the implementation and management of all HSE policies.
• Management of visitor policy.
• Monthly HSE report; Quarterly housekeeping inspection.
• HSE audit and meeting.
• Management of the Security system.
• Duties assigned by the Office Manager.
• Undergo all formal Training Events as may be Directed from time-to-time.
• Observe and Comply with all Sirtex Corporate Policies.
• Work within, and ensure adherence to Quality System procedures, work instructions and other Quality System requirements.
• Work within, and ensure adherence to Health, Safety and Environment Management System procedures, instructions and other requirements.

4. Marketing Support

• Supports the APAC Marketing department in all aspects of commercial administration and activities
• Collaborate with Marketing Team to deliver marketing campaigns, including digital initiatives and internal communications
• Assist with the planning and execution of marketing events including physician education programs, conferences, symposia, and internal facing events. Responsibilities include but are not limited to:Travel, hotel and venue reservations
  Event coordination and on-site support, if required
  Attendee communication and preparing related materials
  Contact with partner vendors and suppliers
  Speaker contract preparation
  Event administration, invoicing and payments
  
• Maintains administration of budgets and expenses for the APAC region
• Manages timeline and schedules for projects, collaborate with internal stakeholders to ensure timely execution
• Coordinate production and distribution of marketing collaterals for APAC region

Job Description: Event Sales Coordinator

Position Overview:
The Wedding Sales Coordinator is responsible for assisting clients in planning and executing private , wedding & corporate events, providing a seamless and memorable experience. This role involves working closely with clients to understand their preferences, coordinating logistics with internal and external vendors, and ensuring the highest level of service. The Sales Coordinator will support the sales and events team in promoting wedding packages, managing client relationships, and overseeing event execution to meet client satisfaction and company standards.

Key Responsibilities:

1. Sales and Client Relations:Respond promptly to wedding / corporate inquiries and provide comprehensive information on packages, venue options, and services.
   Schedule and conduct venue tours for prospective clients, showcasing spaces and addressing any questions.
   Assist clients in selecting wedding / seminar packages tailored to their preferences and budget.

Qualifications:

• Candidate must possess at least a Diploma and/or a Bachelor's Degree.
• At least 5 years of related experience in Business Development. Candidates with B2B and Regional Sales Experience (for ASEAN countries).
