Project Specialist (Oil & Gas)

Roles and Responsibilities:

• To support the Project Managers in the execution of customer projects.
• Administer the deployment and administration of a robust document management system to facilitate timely document review, approval, and documentation in an effective and efficient manner.
• Assist Project team related to documentation issues and advice appropriately on document control procedures and requirements for the project
• Monitor key milestones and coordinate key actions on behalf of the Project Management department in ensuring key activities are complete
• Interface with functional departments on the progress of the work, updating the project plan where appropriate to identify the relevant activities and critical items having significant impact on the project
• Communicate with other departments and plants to ensure accurate information is always made available to facilitate effective decision making for the benefit of the assigned work.
• Assisting the Project Managers to prepare weekly customer progress reports
• Performs quality control and maintenance of registers/Database of all documents and correspondences received/issued by the project
• Implementing processes and tools, providing system reports, maintaining, and updating document record. To ensure ease of retrieval always
• Ensure accuracy of all Project management documentations and in compliance to processes, procedures and work instructions

Qualifications and Experience:

• Bachelor’s Degree in Engineering preferred
• Minimum 3 years in Oil & Gas industry or other relevant industry experience
• Working knowledge of project management concepts.
• Ability to manage time and resources effectively to meet customers' deadlines and requirements.
• Working knowledge of Microsoft Project, Primavera or other scheduling tools

Job Description

• Support Sales team in customer handling when tasked
• Providing timely and accurate quotation when tasked
• Order processing of confirmed orders
• Generate Sales Orders, Production order, Purchase order to production, warehouse, operation departments for proceeding of order
• Ensuring all job orders are processed, accurate and on time for delivery as per client PO requirements
• Issuance of purchase orders where applicable for local purchase relevant to the job orders
• Liaise with relevant operation department on job order progress till readiness for delivery
• Liaising with customer/forwarders/agents on delivery arrangements
• Internal/external transport arrangements for delivery of the completed orders
• Providing final documents Delivery Order, CIPL, Certificates to complete the delivery
• Issuance of invoice for completed Sales orders
• Other duties when tasked by the Sales Manager / Senior Managers / Management Team

Job Requirement

• At least GCE “N/O”Level/ITE
• Computer skills: Excel, Words, SAPB1 ERP system
• At least 1 year experience in Marine/Rigging/ Manufacturing trade will be advantageous

Act as System Admin for assigned Principals

• Work closely with local IT to ensure smooth system uploads and reporting

• Schedule system reports to relevant stakeholders – COMZ Division and/or Principals

• Sales mapping by customer by Rep for uploading into the different systems

• Weekly and monthly sales overview reports to COMZ management (GM, Biz Unit Managers)

• Monthly sales reports to Finance for billing purposes

• Prepare monthly sales reports per Principal in excel pivot for COMZ managers to use for their monthly sales performance report to Principals

• Prepare monthly sales forecast templates for COMZ managers to input.

• Preparation of monthly Salesmen’s commission and quarterly Manager’s commission for COMZ Management’s review and approval

• Handle customers’ sales queries and/or redirect them to respective Sales Team

• Maintaining A&P tracking reports for HPH & Simple

• Management of access control to all confidential documents and drives upon approval by GM.

• Maintenance of filing systems for Division’s key documents (Price/Bonus Maintenance forms, Request for Return Notes, sample chits etc)

• Follow up with Principals on outstanding price and trade returns documents

• Sorting incoming faxes and forward to relevant parties

• Work with Central Admin/HR in prompt replenishment of stationery/beverages for the Division

• Prepare the necessary for monthly Division meetings – meeting room booking and arrangement, refreshments

• Secretarial support to COMZ management team in arranging travel bookings, meeting and appointments.

• Compliance with ISO procedures, quality systems and COC
