Finance and Operations Coordinator (Trade Finance - Agriculture)

Key Responsibilities:

• Support routine paperwork and documentation, performing day-to-day accounting functions
• Check the validity of documents received from vendors
• Prepare documents to be provided to customers
• Supervise data and ensure compliance with business processes
• Coordinate closely with other departments
• Handle monthly closing of a full set of accounts
• Manage and provide accurate monthly bank reconciliations, maintaining journals, general ledger, P&L, and balance sheets
• Prepare and submit monthly tax filings
• Oversee all accounting and taxation responsibilities for the legal entity
• Manage letters of credit, bills of lading, and other trade finance documents
• Coordinate with banks and vendors to facilitate international transactions
• Assist with employee onboarding, benefits administration, and HR record-keeping
• Provide general administrative support to the management team

Qualifications:

• Bachelor's degree in Accounting, Finance, or a related field
• 3-5 years of experience in a similar finance or operations role, preferably in the agriculture or logistics industry
• Strong understanding of financial statements, accounting principles, and trade finance processes
• Proficient in using accounting software and MS Office applications
• Excellent organisational skills, attention to detail, and problem-solving abilities
• Capable of reading and writing in Chinese, able to communicate with Chinese stakeholders

• Handle full set of accounts
• Assist to manage the day-to-day finance and accounting functions of the Company and its subsidiaries
• Record transactions and events relating to inventory, accruals, prepayments, capital structure and finance costs
• Prepare and ensure the monthly financial and analytical reports are made on a timely basis for review
• Assist to manage intercompany transactions and reconciliation.
• Perform bank reconciliations, collection and credit control
• Responsible for quarterly GST Reporting
• Prepare required schedules/report for yearly audit and tax purpose
• Liaise with auditors and responding to any queries
• Ensure compliance with financial policies and procedures

• Manage good communications and develop the correct operation objectives.
• Ensuring all operations are carried out in an appropriate and effective manner.
• Improving operational management systems, processes, and best practices.
• Identification of issues that may affect sales/operations, delivery of services, and implementation of solutions to address issues.
• Take responsibility to ensure smooth operations to meet the needs of local and overseas offices, agents, customers, and vendors.
• Assist and support the smooth running of the day-to-day operations.
• Take charge of operations preparation as requested by the commercial team.
• Promptly inform the customer of shipment status and readiness of shipment.
• Coordinate with operations, commercial, and finance departments to meet operational requirements.
• Ensure timely resolution of any discrepancy in invoicing.
• Ensure prompt and effective resolution of customer complaints and escalate issues to immediate superior/management whenever required.
• Other ad-hoc duties as assigned by your superior.

Responsibilities:

• Oversee all activities and communications regarding outgoing and incoming shipments for all projects to ensure accuracy, timely preparation of necessary documentation.
• Ensure standard procedures, administrative and legal formalities, terms and conditions are followed and completed when third parties are hired for projects.
• Communicate shipment timelines internally to make sure other functions can plan properly and meet the deadlines.
• Work with Sales Team to assist them with freight estimation for quotation purposes.
• Determine and analyze budget for logistic needed to fulfil the project's requirements.
• Coordinate with the Finance Department to obtain necessary approval for budget and satisfy required documentation.
• Maintain high accuracy in all document preparations for logistics.
• Ensure best service and best pricing in logistic activities.
• Ensure equipment are received as scheduled by continual follow-up and communicate with freight forwarders and resolve any issues as and when required.
• Develop strong working relationships and cooperation with other functions and departments.
• Support purchasing strategies (sourcing, negotiation & cost management, quality and delivery terms, documentations) and Manage procurement and rental of any external resources, services, and facilities required to support the projects or operations
• Nurture positive relationship with suppliers and service providers for optimum pricing and support.
• Develop and improve SOPs for Logistics and procurement.
• Assist in implementation of goals and policies for effective improvements in Operations.

Requirements:

• At least 5 years of working experience in managing logistics operations.
• A qualification in logistics or Supply Chain Management will be preferred.
• Preferably working as a manager specialized in Purchasing / Inventory/ Material/Logistic and Warehouse Management or equivalent.
• Ability to lead by example and multi-task with tight timelines.
• Strong team player and self-starter who sees tasks to completion.
• Strong interpersonal skills and resourceful in solving problem.
• Positive, hands-on, proactive, and highly organized.
