Responsibilities:
• Provide day to day administrative support to several departments.
• Screen incoming calls and correspondence and respond independently when possible.
• Perform general housekeeping duties e.g. order stationery, ensure proper functioning of photocopying machines and printers, liaise with maintenance department regarding office facilities needs, maintenance and repair.
• Inventory management of office and pantry supplies.
• Control and manage filing of confidential and management level documents.
• Plan and coordinate meetings and appointments, both internally and externally.
• Handle travel arrangements and logistics for business trips and meetings.
• Prepare Purchase Requisitions, Purchase Orders via Company ERP system for Admin-related items/services.
• Assist with procurement requests and invoice verification.
• Prepare and process expense claims accurately and ensure prompt submission of the claims.
• Perform any other tasks as may be assigned by the supervisor.
Requirements:
• Minimum of GCE ‘N/O’ level with at least 3 years of working experience in a similar capacity.
• Must have good application knowledge of MS Office, i.e., Word, Excel and operating printing, scanning, binding and laminating equipment. Experience in ERP system will be an advantage.
• Proficiency in Tamil or Bengali is advantageous to facilitate welfare checks with South Asian migrant workers.
• Ability to exercise initiative and liase with external parties regarding documentation.
• Has an inclination towards planning, analysis and improving operations .
• Meticulous, detail-oriented, organised and able to prioritise tasks.
• Able to multi-task, deliver under pressure and within deadline.
• Good stakeholder management, interpersonal and communication skills.
• A team player with the ability to work independently as well as in a team.
