Job Description:


Our client is looking for Admin Executive who will be in charge of overall administrative jobs.
1.Accounting:
 - Liaise with Accounting firm and Japan HQ
e.g. Providing information to Accounting firm, Checking documents made by Accounting firm
(Payment, GST declaration, Corporate Tax etc.)
 - Liaise with Accounting auditor, preparing documents for accounting audit
 - Prepare cost budget assumption documents, forecasting, etc.
 - Reimbursement of expenses
 - Issuing invoices etc.
2.Administration:
 - Take calls and transfer them to right person
 - Reception of guests (Reception services are outsourced to the sublease partner and only contact them).
 - Meeting room and equipment management
 - Support business travel-related visa applications, reservation of AIR Ticket, Hotel and restaurant
 - Filing and binding of documents
 - Contract management and renewal process
 - Other adhoc duties (Postal delivery, copying, data entry etc.)
3.General affairs & HR:
 - Office management
 - Management of attendance records
 - Benefits management
 - EP/DP Application and renewal for Expats
4.IT:
 - PC/mobile set-up
 - Liaise and coordination with IT vendor
 - Trouble-shooting
5. Others:
 - Sales support (e.g. Information gathering about energy industry, filing, Business partner surveys, L/C check etc.)
 - Translation of documents & email (Japanese ⇔ English)
 - Creating SOP/manuals
 - Handling enquiries from Japan HQ
 - Trouble support, including for expatriate families e.g. Introduction of condo repair contractors
 - Other adhoc duties


Job Requirements:

  • Min 3-5 years of Administrative experience
  • Japanese language skill is required to liaise with counterparts in Japan HQ, and to translate email and documents (English⇔Japanese)
  • Basic Microsoft office skill (expecially Excel)
  • Well-organized person as document keeping etc. is required.
  • Good interpersonal skill and willing to learn
  • Mature and able to work independently
