We are seeking a proactive and skilled Receptionist & Office Administrator fluent in both English and Chinese to join our team. This role encompasses both receptionist responsibilities and administrative and human resourses duties to ensure efficient office operations and support business activities effectively.
Receptionist Responsibilities:
- Greet and welcome guests and visitors in a professional and friendly manner.
- Serve as the primary point of contact for all incoming calls, inquiries, and correspondence in both English and Chinese.
- Coordinate travel arrangements including accommodation and itinerary planning for visiting executives and guests.
- Assist in organizing company events, meetings, and conferences, ensuring all logistical arrangements meet high standards.
- Manage and maintain the reception area, ensuring cleanliness and organization at all times.
Office Administrator Responsibilities:
- Perform general administrative duties such as handling incoming and outgoing mail, scheduling appointments, and maintaining office supplies inventory.
- Manage office facilities and vendor relationships to ensure a safe and productive work environment.
- Maintain electronic and paper filing systems, ensuring accuracy and accessibility of documents.
- Support HR functions such as coordinating interviews, onboarding new hires, and maintaining employee records.
Qualifications:
- Diploma or above
- Minimum 1 year work experience in a receptionist or administrative role, preferably within a multinational environment or related industry.
- Strong organizational skills with the ability to multitask and prioritize workload effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with office equipment.
- Exceptional interpersonal skills and a professional demeanor, capable of interacting with diverse stakeholders.
- Fluent in both English and Chinese/Mandarin to communicate with stakeholder of HQ in China.
