Scope of work

1. Administration pertaining to movements of personnel
2. Ensuring the completion of check-list for new staff joining the school & staff leaving the school/service
3. Updating Staff List
4. Updating Staff Particulars, e.g. change of address & contact no., staff achievements, courses completed, etc
5. Updating School’s Achievements, including CCA achievements
6. Handle logistics for meetings
7. Check daily incoming mails and dispatch to respective personnel
8. Administrative duties for major events such as Founder’s Day, National Day cum Partnership Day & Secondary Four Graduation Ceremony, etc
9. Designing and printing of programme booklets
10. Preparing guest book for visitors
11. Foreign Schools’ Visit to AHS
12. Designing & preparing guest book for foreign visitors
13. Preparing momento photographs for foreign visitors
14. Updating school leaders’ & school’s calendar of events
15. General filing
16. and photocopying duties
17. Any other administrative duties assigned by P/VPs such as arranging refreshments for meetings, photography, school organizational chart and general office administrative duties.

Qualifications, skills and experience:

Education: Minimum GCE ‘O’ Level Certificate or its equivalent

Specifications:

1. Good interpersonal skills and a collaborative team player.
2. Good communication skills and comfortable engaging stakeholders.
3. Ability to multitask with good time management.
4. Proficient in Microsoft Office
5. Able to work on Saturdays, if necessary.

Experience

Preferably with 3 years relevant administrative support experience in schools.

The Job:

• Attends and administers to all after-sales services over WhatsApp, emails and incoming calls. Verifies truck status and co-ordinate with workshop in-charge to dispatch jobs to technicians and update status to customers.
• To administer internal and external administrative matters e.g. internal liaising with service admins on ops administrative matters, personnel administrative matters, etc. External: Daily status update to customers, Airfield vehicle permit application etc.
• To assist workshop in-charge to liaise with vendors on ops required items/parts and other engineering jobs
• To co-ordinate with workshop in-charge in planning of PM schedules and dispatching to customers

The person:

• GCE N or O level
• 3 years’ working experience
• MS Excel, Word and PowerPoint
• Basic IT skills and knowledge
• Administration support to the department, assisting in document processing
• Works well under pressure

• Handle urgent cases with immediate attention and escalate to management for swift resolution when necessary.
• Identify recurring issues and communicate them to management, providing suggestions for improvement.
• Maintain a polite, professional, and helpful demeanor in all customer interactions.
• Gather and share customer feedback with colleagues and departments to enhance our products and services.
• Stay passionate and knowledgeable about the latest trends and technology related to PRISM+ products.
• Adhere to company policies, including confidentiality guidelines.
