Primary Responsibilities

• Maintain good, professional working relationships and effective communications with existing, and new customers and all internal departments, affiliate offices, and partners.
• Support and handle all sales and other enquiries from local customers, overseas offices/agents/customers and handle RFQs.
• Provide quotation for Air, Sea (for both export/import) and Land transportation freight enquiries.
• Ensure all requests received for cost quotations, are responded to within the shortest possible time frame/deadline.
• Build and maintain good rapport with customers to fulfil their requirements.
• Provide excellent customer service support and attend/address customers’ complaints.
• Generating sales/customers report.
• Maintain good relationships with carrier/service provider to obtain more competitive cost.
• Co-ordinate with vendors and customers for bookings via faxes and emails and seek approval of shipment.
• Work closely and coordinate with operation to meet customers service expectation and provide supports whenever is required.

Secondary Responsibilities

• Joint visits with HOD/Sales to customer/vendor to build rapport, strengthen business relationship, review process and seek business opportunities.
• Support HOD in training and guiding new staff.
• Support and develop business.
• Monitor competitors, market conditions, and product development.
• Plan, design and propose Better Freight Solution.

Job Summary:

The incumbent will be part of a larger team within the IFF department in providing seamless and customer-focused solutions to support the achievement of business objectives.

Job Responsbilities:

• Answer all incoming calls promptly and politely
• Respond to customer enquiries promptly
• Basic knowledge on cargo commodity as per IATA rules and regulations
• Handle all air export shipment interface with multiple parties (internal and external customer/stakeholders) on shipment requirements
• Booking of flights with planning team
• Check on AWB/HAWB and all other necessary shipping documents and feedback to customer and overseas agent if any discrepancy/non-compliance issue
• Ensure all data are updated correctly in system
• Liaise with overseas agents on various requirements and rates
• Obtain rate approval from customer before shipment departs
• Provide flight details and feedback to customer on freight status timely
• To ensure AED compliance and job file closures within KPI
• Monitor shipment uplift and transit to ensure timely arrival/delivery to consignee, as well as updating shipment delays to shipper and destination stations whenever occurs
• Good understanding of customer’s SOP and shipment handling requirement by ensuring compliance prior to shipping, with customer satisfaction
• Monitor progress to achieve month end targets / annual objectives and KPI
• Supporting others on shipment execution when necessary
• Manage claims query, follow up with internal stake holders and vendors, and update customer
• Provide airfreight quotations upon application
• Take charge of Supplier’s invoice disputes
• Timely escalation of issues / concerns that requires broader attention and resolution
• Take on all other ad-hoc tasks delegated by Supervisor/Manager

Job Requirements:

• Minimum GCE ‘O’ levels with 1-2 years customer service-related experience. Experience in freight-forwarding(airfreight) is advantageous.
• Possess excellent communication and interpersonal skills
• Good written and spoken English
• Able to work over-time when required

Job Scope:
- Responsible for the day-to-day activities of customer service executives within established policies and procedures.
- To process/enter customer orders, manage quotations and warranties, follow-up on order statuses, creating delivery documents, maintain records of transactions and interactions, as well as updating ERP (SAP) and databases (Microsoft Access).
- To ensure accurate and timely billing/invoicing to customers.
- To manage customer claims, and ensure overall customer satisfaction through effective communication, and timely responses to customers.
- To co-ordinate with, or support other departments to resolve customer service issues.
- To work within the Repair Team to ensure repair SPT and company objectives are met.
- Be responsible, and to prepare, present and/or participate in performance related topics.
- To participate in the after-work hours AOG duty schedule.

Others:
- To be familiar with the company’s requirements to follow contractual obligations relating to order fulfillment (eg: Airbus Supplier Support Conditions, etc).
- To meet the Key Performance Indices set forth by the supervisor.
- To participate in ad-hoc cross functional improvement projects.
- To assist in other tasks that the supervisor may assign from time to time (included, but not limited to job scope above).
- Reports to the Repair Team Leader and Head Of Operations.

Requirements:
- Must be familiar and able to use Microsoft Outlook and Excel.
- Must be able to communicate clearly and write fluently in English.
- Candidates with previous experience in aerospace customer order desk will be highly preferred.
- Candidates with experience using SAP and Microsoft Access will be good too.
