Administration

On business management:

• Source, negotiate, and determine course fee for children enrichment program.
• Ensure optimum level of students enrolment and ensure profitability is beyond break even vs centre’s overhead expenses.
• To do strategic planning on publicity for enrolment & volunteerism.

• Ensure that licensing requirements are met at all times.
• Ensure that up to-date records (factsheet, centre’s enrolment, particulars of students and their parents, staff, medical and leave records, attendance of staff and students) are properly maintained.
• Ensure that records (petty cash, fee collection records, registration and withdrawals, subsidy applications etc) are properly maintained.
• Liaise with government agencies on operational matter namely, MCDS, HDB and Town Councils.
• Attend to & respond appropriately to public enquiries and complaints.

Finance

• Prepare centre budget with respect to the programme needs of the centre.
• Monitor budgetary costing and control of centre’s income and expenditure.
• Seek approval from superior for the procurement of materials and supplies.
• Prepare disbursement of petty cash expenses to staff and seek approval for disbursement of petty cash expense to self.

Accountabilities

Responsibilities:

1. Staff recruitment, training and supervising • Applies to both full-time and part-time staff • Organise regular appraisals with staff and provide recommendations to Management for confirmation/promotion • Plan and oversee staff duty roster • Handle staffing issues and issues between staff members • Manage staff behaviour, etiquette and grooming at the workplace
2. Managing budgets • Provide monthly expenditure estimates and making sure budgets are well kept to
3. Compliance matters • Ensure that restaurant adheres to licensing, hygiene and health and safety legislation/guidelines
4. Promoting and marketing the business • Gather on-ground sentiments and suggest workable promotions and marketing tactics to increase sales • Upselling of products • Secure and run events for the outlets, and provide the highest of service standards to clients
5. Managing stock • Order supplies according to given budget • Manage stock levels and ensure inventory is always kept up to date • Maintain good relationships with all suppliers
6. Handling customers • Entertain both enquiries and complaints on a quick turnaround time • Make sure all staff are well trained in taking reservations, greeting customers, giving customers advice on restaurant matters, basic problem solving and service recovery • Ensure high standard of service quality is adhered to

RESPONSIBILITIES

As a Centre Supervisor, you will assist the Centre Manager in ensuring smooth operations of the Senior Day Care Centre (SCC).

You will be part of an integrated care team that delivers a person-centred care model for our seniors, including persons with dementia. Ideally, this person should also be promoting seniors independence and maintaining their cognitive and physical functions. This person will facilitate small-group activities in SCC to enable seniors to live with dignity and fulfilment.

A.Manage daily centre operations

• Assist the Centre Manager in ensuring the smooth management of centre operations e.g. scheduling, documentation, cleanliness of workplace & client safety
• Supervise and guide the care staff to deliver care duties
• Meet guests and visitors in a friendly and welcoming manner and manage timely follow-up to their queries
• Increase productivity through the continual streamlining of processes and workflows
• Ensure compliance with International Organization for Standardization (ISO), regulatory and internal audits
• Maintain a credible professional image and positive branding of NTUC Health through positive and professional relationships with clients, caregivers and other stakeholders
• Attend continuing internal and external training to upskill knowledge and skills

B. Oversee the centre programme for our seniors. This includes the following:

• Organise and execute activities that cater to needs and interests of seniors
• Train and guide care staff to lead and facilitate small group activities
• Promote active engagement and tailor participation of activities to seniors choices and abilities
• Support the Centre Manager in tracking clients outcomes and satisfaction

C. Proactively engage the caregivers of our seniors

• Provide regular updates of seniors medical and health conditions
• Communicate the beneficial outcomes of the centre activities and events
• Communicate with the caregivers the progress report of our seniors

• Diploma holder or equivalent
• Minimum 2 years of supervisory experience
• Ability to listen and express clearly and concisely
• Facilitation skills and knowledge would be an advantage
• Proficiency in Google Suite and digital tools (WhatsApp, Youtube, Zoom etc)

• Ability to work effectively both independently and in a team
• Have a caring, empathetic and patient personality to establish positive relationship with seniors and caregivers
• Proactive and observant in identifying and attending to the needs of seniors and staff
• Some experience in community and volunteer involvement would be an advantage

Job Description:

• Perform intake assessment and review of day care clients and oversee Multi- Disciplinary Meetings for reviews of clients including Day Rehab clients.
• Supervise daily routines such as meal preparation, serving of meals, preparing clients for activities, conducting of activities, reviews of clients and cleaning duties of care staff.
• Work with centre nurse and care staff to ensure clients specific needs (ADLs) are met and communicated to the team.
• Co-ordinate and plan programmes and services with internal and external stakeholders.
• Direct, guide and participate in the orientation and training of new staff and provide ongoing training and monitoring of care staff in the area of provision of care to day care clients and clients with dementia.

Requirement

• Min Degree in any field of study from a recognised institution
