Our client, a UK headquartered chauffeuring platform and car leasing business, is looking for a Customer Service & Admin Executive to join their pioneer team in Japan. This role will effectively support all admin and accounts associated activity as directed by the Finance Business Partner, APAC.
This role is responsible for ensuring daily reservations are well taken care, clients and suppliers are notified and updated of changes. Assist with client account management whenever required, and address to clients’ queries over the phone/emails with changes, new bookings, and any further assistance. This role also involves providing comprehensive administrative support to ensure the smooth operation of the office. The ideal candidate should possess excellent organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment.
Job Description:
Key Responsibilities:
・Responsible for the effective management of daily bookings, client queries, client quotations, assistance in event planning and execution.
・Engage in active listening with callers, confirming or clarifying information and diffusing clients if needed.
・Implement solutions to execute client events, responsible for all aspects of ongoing event priorities.
・Ensure SLA’s are met in line with company expectations
・Ensure that all processes are being adhered in order to deliver the highest possible quality standards.
・Dealing with all feedbacks and reporting findings to reporting Manager.
Administrative
・Provide full administrative support to reporting Manager
・Assist and support in basic financial tasks, such as processing expense reports, issuing invoices in a timely manner
・Input accurate pricing using in-house system and relevant databases
・Checking pro forma invoices and exporting
・Dealing with invoice queries and review supplier anomalous invoices
・Assist in onboarding new employees by preparing workspaces and necessary
・Perform ad hoc duties as assigned
Job Requirements:
・Prior experience in travel industry will be a value-add but not the primary criteria for selection of candidates
・3+ years of experience in customer services or a related field
・Good project management skill and handle multi-tasks independently to meet tight deadlines
・Good computer knowledge (Word, Excel, PowerPoint and Word Processing)
・Proficiency in both Japanese and English to liaise with Japanese speaking clients in Japan
