• Adecco is partnering with a leading bank to look for a Operations Assistant, Global Hospitality Services
• Focus: responsible for conceptualising, designing and executing content marketing experiences across social media, websites and internal communications channels that shape perceptions about the brand.
• Office Location: CBD
• Immediate, contract till 17 March 2025
• Salary range: $4,000 - $4,970

The Job

• Operational, administrative, and analytical support to the Singapore & Asia Clusters GHS Team
• Support daily operational requirements when designated on the listed scope above
• Clusters management & statistical reporting support, including data management, governance controls and metrics reporting ensuring integrity of systems and managing any subsequent administration and minimizing risk
• Consolidate and update ad hoc / scheduled reports, metric, organization chart and system / intranet update etc.
• Produce and distribute correspondence memos, letters, and forms etc. to enhance & streamline productivity & communication within the group
• Gather and prepare required information for PO creation, including tracking and follow up on invoices submission to CRU team
• Research and creates presentations
• Organize and schedule meetings and appointments, provide real-time scheduling support by booking appointments and preventing conflicts
• Carry out administrative duties such as filing (both computer and manual), typing, copying, binding, scanning etc.
• Handle sensitive information in a confidential manner
• Book travel arrangements, submit and reconcile expense reports

The Talent

• University degree graduate with hospitality or related major
• 4 years of related working experience
• On the job knowledge is more important than qualifications.
• Candidates would require having a higher education background; however exceptional candidates who do not meet the educational criteria may be considered provided they have the necessary skills and operational experience
• Additional vocational qualifications, Diplomas or industry equivalent or awards are welcomed, but are not a pre-requisite
• Proficient in MS Office
• Operations, administration or assistant experience in related or similar areas (i.e. executive, hospitality and food & beverage services)
• Experience in third party vendor management is ideal, but are not a pre-requisite
• Experience of client liaison or relationship management or teamwork
• Fundamental understanding of controls and associate processe
• Good interpersonal skills, confidence and judgement
• Good verbal and written communication abilities
• Flexible and responsive manner and ability to prioritize
• Structured and organized approach

Contract Period: From 1 Jan 2025 to 31 Dec 2025.

Option to Extend: The Contractor grants the Authority the option to extend the Contract for a further period of 01 Jan 2026 to 31 Dec 2026.

Personnel to be deployed at the following hours:

• Mondays to Thursdays: 7:30am to 4:30pm, inclusive of ½ hour lunch break
• Fridays: 7:30am to 1:30pm (no lunch break)
• Service not required on Saturdays, Sundays and gazetted public Holidays

The Services required are set out as follows:

• Be in the Teacher’s Preparation Room and food laboratories during working hours
• Ordering of food ingredients before lesson
• Preparation of ingredients before lessons, ensuring food is prepared and handled safely
• Maintaining cleanliness of utensils, equipment and food laboratories Areas
• Handling inventory and stock taking of resources e.g. books, utensils and equipment.
• Assisting the teacher during practical session e.g. ensuring that students observe safety rules, guiding students in preparation skills
• Administration – Checking and filing of invoices and keeping track of the cost of the ingredients
• Any other duties relating to the food laboratories assigned by NFS teachers, HOD/Craft and Technology and the School leaders.

The Personnel shall minimally have the following qualifications, skills and experience:

• Minimum qualification of Primary 6
• Able to converse and write in English
• Basic mathematical skills e.g. able to calculate the amount of ingredients based on a given recipe for seven classes
• Good knowledge on food ingredients and food preparation.
• Preferably to have attained the Basic Food Hygiene Course
• Must have at least 1 year experience working on food preparation in a commercial/school or training kitchen
• Previous working experience in a school-kitchen will be an added advantage

1) Engagement with Internal and External Stakeholders

• Identify meaningful causes/ interests and volunteering opportunities based on interests, resumes, testimonies of individuals and groups. (Additionally, Corporate Social Responsibility vision for the latter.)
• Create impact and partnerships across different sign-up platforms to expand our volunteer base while facilitating their active engagement through existing/new projects
• Tailor to various audiences, including the next generation of volunteers such as students, young adults and community groups.
• Run and monitor an active volunteer recognition programme
• Liaise and work with Pastoral Care Services on the Patient Befriending Programme.

2) Management and Development

• Map and work with Head of Department (HOD) and/ or relevant HODs and C-Suite to grow and cultivate individuals, groups/ networks for this new alliance of like-minded persons/ groups.
• Match volunteers and volunteer opportunities with internal and external stakeholders Share best practices with internal and external partners at suitable platforms

3) Marketing and Communications

• Promote, advocate and educate on the significance of volunteerism that conveys inclusiveness and accessibility.
• Work with internal and external partners to cross-share contents on each partner’s publicity platforms. Curate and maintain an archive of stories and materials that depict the meaningful work enhance by volunteers.

4) Resource Planning, Training, Review and Audit

• Work with internal and external partners to identify suitable training for staff and volunteers.
• Adhere to internal checks and controls, SOPs and templates for proper accounting, tracking and compliance.

• Min Degree in Any courses
• Min 4 to 4 years of volunteer managment experience
