The Accounts Officer – Accounts Payable & Revenue Audit’s core responsibilities to support Accounts Executive in auditing day to day operations transactions, processing and timely payment of all hotel payments.

What will I be doing?

As the Accounts Officer – Accounts Payable & Revenue Audit, you will be responsible for performing the following tasks to the highest standards:

• Account for and audit all purchase orders, receive records and suppliers’ invoices (purchase invoices matching procedure).
• Ensure all invoices have proper supporting documents and authorization before processing payment.
• Prepare vouchers, including cost distributions and account codes for all suppliers’ invoices and credit memos.
• Balance suppliers’ monthly statements to the hotel’s accounts payable record.
• Answer suppliers’ and other parties’ queries relating to accounts payable.
• Ensure that Daily and Monthly Revenue and Settlement Reconciliation is prepared on a timely basis and all revenue is captured and reported.
• Review all entertainment dockets and officers’ checks, ensuring that all are authorized and signed with the appropriate level of detail.
• Verify transactions posted in the daily report, including but not limited to credit cards, city ledger, crew allowances, paid outs, allowances and rebates, miscellaneous charges, voiding, car park revenues, and room safe keys.
• Prepare rebate and allowance summary and rebate journal.
• Handle all requests and inquiries in a timely and efficient manner.
• Carry out any other reasonable duties and responsibilities as assigned by Accounts Executive.

The Security Officer delivers the safety and security measures that meet the requirement of the Hotel Management.

Primary Responsibilities

Manages The Control Room

• Verifies all visitors, guests and contractors of their visit and issue pass to them after verifications.
• Records and issues departmental keys to the colleagues after verification. Acknowledges and records when the keys are returned.
• Reports and documents all incidents in the Security Management Occurrence log.
• Answers to all telephone enquiries in a calm and professionally manner.
• Records and takes pictures of all Loss and Found items surrender by colleagues or others in the “Case Property” form and thereafter to hand over to Housekeeping if there is no claimant.

Involvement As A Member Of The Security Team

• Provides security escorts for finance department to the bank.

Candidate Profile

Knowledge and Experience

• Must be a registered Security Officer with Police Licensing & Regulatory Department (PLRD) and holds a valid Security License issued by PLRD.
• Secondary education with WSQ Certification in Security Operations.
• Certified in First Aid, CPR and AED.

WHAT’S THE JOB?

Produces all invoices and statements for the Finance Department. Responsible for the timely and accurate monthly payment. Promotes the desired work culture around our Winning Ways of the InterContinental Hotels Group and the brand ethos.

YOUR DAY-TO-DAY

• Duties include:
• Assists in coordinating the preparation of the departmental annual budget
• Assists in monitoring and controlling departmental cost on an ongoing basis to ensure performance against budget
• Respond to and resolve account queries
• Collate suppliers' documentation for processing
• Assist in Invoice posting and payments and Month end accruals
• Assist in monthly invoices processing for other IHG hotels, General Manager and Shop rentals
• Prepare weekly food costing report.
• Prepare month end food and beverage journals and inventory reconciliation
• Build and maintain positive relationships with all internal customers and guests in order to exceed their needs
• Maintains a filing system for account payable records
• Respond to and resolve vendors’ and other accounts queries
• Collate suppliers’ documentation for processing
• Work closely with Receiving department and related departments to ensure all invoices have the appropriate documentation attached and approvals prior to processing
• Process all invoices for payment and perform supplier reconciliation statements
• Respond to and resolve vendors’ and other accounts queries
• Check arithmetic accuracy and invoices and assign general ledger codes as per chart of accounts
• Reconcile Food and beverage, general and direct items purchases between the Purchasing/Inventory and Accounting system
• Run cheque / giro payment / electronic fund transfer for approval on a monthly/weekly basis
• Reconcile supplier statements with establishment records and follow up on any discrepancies
• Maintain the batch register and balance daily to general ledger
• Generate vendors’ aging report and ensure it balance with General ledger
• Ensure all controls are in compliance with internal/external audit requirements
• Performs other duties as required by Accountant / Senior Accounts Officer

Under the general direction of the Assistant Director of Finance and Business Support and within the limits of InterContinental Hotels Group policies and procedures, and local requirements, has responsibility for administration of Hotel’s Credit Policies.

WHAT WE NEED FROM YOU

Diploma or Vocational Certificate in Accounting or Business Administration or related field, with 1 years experience in an accounting clerical, front office, or reservations position or similar; or an equivalent combination of education and work experience. Demonstrated ability to interact with customers, employees and third parties that reflects highly on the hotel, the brand and the Company. Proficient in the use of Microsoft Office. Possesses problem solving, reasoning, motivating, organizational and training abilities. Has good writing skills.

Tour Operations Officer

The Tour Operations Officer manages all aspects of travel operations including reservations, ticketing, travel coordination and customer support.

He/She is service-oriented with strong multi-tasking skills, able to address any vendor management issues. He/She is able to think clearly in emergencies and ensures smooth tour operations in accordance with schedules/itineraries.

Job Description

· Liaise with service providers (such as airlines, land operators, hotel) and sending reservation requests to service providers

· Monitor ticketing deadline and air tickets issuance, GDS tickets stock requisitions

· Interaction with suppliers and business partners to settle and finalize logistical requirements for outbound tour groups

· Take note of special requests for seat preferences and dietary restrictions

· Generate Group Sales (GS) and budget costing.

· Generate Exchange Order (EO) to make payment to airlines and operators

· Handle any operations-related enquiries and assist Sales Team when required.

· Creation of tour type and tour code using in-house travel system

· Issue travel documents to customers

· Provide information, quotations and assistance during destination travel events, if required.

· Any other duties as assigned by supervisor

Job Requirements

· Minimum 2 years’ experience in a travel & tourism company

· Good command of English & Chinese to deal with overseas business partners.

· Excellent accuracy and attention to detail

· Strong organizational skills and the ability to set priorities and meet deadlines

· Excellent command of Microsoft Office (World, Excel, Outlook) applications and computing skills

· Ability to work under pressure in a fast-paced environment

· Must be team oriented, extremely motivated, and able to work independently

· Knowledge of of CRS, GDS and CRM system (Airline booking system) is an advantage

· Experience of working in an operational or customer service role in the travel industry is preferred
