Responsibilities:

• Support basic accounting tasks, processing invoices, payments and month-end closing processes.
• Conduct recruitment activities such as posting job openings,paperwork and scheduling interviews.
• Maintain, up-to-date and filing records and profiles and verify timesheets, attendance and leaves balance for all staff.
• Provide general administrative support to both the HR and Accounting including maintaining office supplies, scheduling meetings, coordinating calendars.
• Performing basic office tasks, such as filing, data entry and processing the mail.
• Assist with any ad-hoc duties.

Requirements:

• Relevant experience in administrative role.
• Proficiency with Microsoft Applications such as Word, PowerPoint, and Excel.
• Able to work independently in a fast-paced environment.
• Strong written and verbal communication skills in English.

Job Description & Requirements

• Manage the end-to-end recruitment process, including sourcing resumes, screening and shortlisting candidates and participating in the selection process, liasing with external parties eg: MOM, Agents, Embassies.
• Build and develop strong client base.
• WP/Spass processing to candidates ’s orientation.
• Perform recruitment functions such as understanding job requirements, sourcing through various platforms, screening, interviewing, job offers and placement of candidates.
• Active involvement in shaping the candidate journey from screening and interviewing through to providing feedback and negotiating offers of employment.
• Handle, Coordinate, Lead and support hiring managers and other business stakeholders on conducting interviews.
• Develop, support, and maintain employment advertising for existing and future openings.
• Ensure new hires have well-organized and inspiring hiring, onboarding, and probation experience by collaborating with managers, finance and HR teams.
• Accurately track and report on the recruitment, onboarding and confirmation process based on using MS Excel and relevant HRIS module.
• Stay current on the company’s organizational structure, HR policy, and Singapore legislation regarding employment practices.
• Maintain a database of potential candidates for future job openings.
• When relevant, collaborate with and support the country/region HR teams on related activities (e.g. onboarding, data & analytics, exit interviews etc).
• To maintain excellent working relationships with agents and staffs.
• May oversee the scheduling , assignments and daily workflow of staff in various departments.
• Ensure compliance with data privacy regulations and best practices.
• Perform any other duties as assigned by Reporting Manager.

Key responsibilities include:

i. Collaborate with internal/external stakeholders in identifying relevant Organisation Development (OD) areas to cultivate, sustain and improve on ICA’s employee engagement, culture development (such as innovation culture) and organisation performance. Influences and supports changes in organizational behaviour.

ii. Strengthen ICA’s capability development, including collaboration with stakeholders in identifying relevant OD areas to enhance ICA’s organisation diagnosis efforts

iii. Source for OD tools, applications and practices, evaluate relevance for application in ICA, and recommend approach for adoption, where feasible.

iv. Design processes to facilitate ICA’s continued organisation development and improvement through the skilful engagement and developing positive relationship between internal and external stakeholders (include PSD, MHA and community of practitioners) to network, learn, exchange of information and/or provision of specialist advice/knowledge.

v. Guides processes on change management, organisation effectiveness and performance issues aimed at building organisational cohesion, health and flexibility. Assist to build and support work unit and workforce OD capabilities/competencies.

vi. Maintains and updates knowledge of change management theory, principles, and practices; management and leadership approaches, and instructional design and delivery techniques.

Knowledge and skills:

i. Relevant degree in organisation development, psychology, organisation design and development or other relevant behavioural science or any relevant work experience, preferred.
