• Lead or support OPG assigned adhoc projects/ initiatives related to enhancement of internal controls or improve efficiency of internal process.
• Handle queries and participate in discussions related to audit and/or regulatory topics in nature.
• Coordinate recovery efforts and execution of drill plans with stakeholders during system incidents.

Requirements

• Minimum of 5 years experience in incident management or a related field.
• Strong understanding of incident management frameworks (e.g., ITIL), root cause analysis methodologies, and risk assessment.
• Proficiency in incident management tools and software.
• Ability to analyze complex situations, conduct in depth reviews and risk assessments, identify critical issues, and propose effective solutions.
• Excellent written and verbal communication skills, with the ability to convey technical information to non-technical stakeholders effectively and presenting to senior stakeholders

Overview

The Project Assistant will support project managers and team members in various administrative tasks to ensure the smooth execution of projects.

Key Responsibilities:

• Assist project managers in planning, organizing and executing project activities.
• Maintain project documentation and records, including project plans, schedules and status reports.
• Coordinate meetings, conference calls and appointments for project teams.
• Prepare meeting agendas, take meeting minutes and distribute action items to team members.
• Track project timelines, milestones and deliverables to ensure projects stay on schedule.
• Communicate project updates, status reports and issues to stakeholders as needed.
• Assist in managing project budgets, expenses and procurement processes.
• Collaborate with team members to identify and resolve project-related issues and risks.
• Support project teams in implementing best practices and process improvements.

Required Qualifications & Skills:

• Proven experience in a project support or administrative role is an added advantage.
• Strong organizational skills and attention to detail.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Experience with Microsoft Visio will be a plus.
• Ability to prioritize tasks and manage time effectively in a fast-paced environment.
• Familiarity with project management methodologies and tools is a plus.
• Ability to work independently and collaborate effectively with team members.

Responsibilities:

• Assist the Project Manager to manage installation and de-installation of events, exhibitions and permanent displays
• Plan & manage overall project scheduling, including documentation, commissioning & hand-over
• Maintain quality control and manage sub-contractors & suppliers
• Manage project budget & cost control
• Understand building & regulatory requirements & ensure compliance
• Control site management and attend or conduct site meetings
• Administer routine management reporting & updates

Qualifications and Requirements:

• At least 3-4 years of working experience with proven track records in events and exhibitions industry.
• Meticulous and good planning and co-ordination skills
• Ability to work effectively within a collaborative team environment
• Ability to perform under tight schedules and deadlines with minimum supervision
• Knowledge of structural, AV and M and E preferred
• Strong leadership skills
