The Trading Operator is responsible in for executing trades from contract conclusion by the Trading teams to cash collection:

• Delivering seamless and effective delivery of excellent service to Holcim’s business partners (customers, ship owners/brokers, suppliers) in a timely manner.
• Ensuring integrity of information flows to and from internal and external stakeholders.
• Managing risks under the responsibility and guidance of the Trading teams within the defined segregation of duties.

MAIN ACTIVITIES / RESPONSIBILITIES

Business objectives

Manage the value creation for and with existing customers and suppliers for the whole Holcim’s perimeter characterised by activities such as:

• Ensuring smooth and seamless execution of trades administration (for bulkcarriers, containers and multimodal transportation) with Holcim business partners by driving supply chain schedules and daily updates directly with suppliers, customers, ship owners/brokers, port agents, freight forwarders/logistics providers and other stakeholders.
• Ensure and track that cargo, shipping and multimodal transportation commitments are fulfilled and escalate any potential performance issues to the various internal stakeholders (Traders, Shipping, Supply Chain, Legal, and Management).
• Ensuring the integrity, timeliness and quality of the information provided to internal and external stakeholders through internal checks and controls (e.g., get approval before loading from CFO and Head of Region in case of missing LC, non-back-to-back positions, provisions, etc).
• Obtain, issue documentary/shipping instructions, customs documentation, inventory documentation with the various stakeholders (suppliers, customers, banks, ship owner/brokers, freight forwarders/logistics providers, etc) and organise surveyors, inspection, etc. where required.
• Ensure nomination and timely acceptance of vessel in close coordination with the Chartering Managers/Shipping department.
• Ensure that all measures of mitigation are in place to avoid any risks, disruptions, losses related to vessel operations/trade execution.
• Is responsible for the issuance and control of any laytime calculations and claims with ship owners, suppliers and customers.
• Initiating cash in – cash out processes at transactional level upstream from Finance.
• Prepare reports, statistics for the Team Leaders, Traders or other internal stakeholders when required.
• Escalate any operational issues to the Team Leader and/or the Trader and/or the Chartering Manager.
• Share internally any market/business intelligence collected through daily interaction with customers and suppliers.
• Collect and forward customer inquiries to the relevant Trader.

Risk management

• Adhere to the Holcim Code of Business Conduct, Trading Policy and Shipping Directive and all relevant Holcim policies.
• Protection of the Holcim Group reputation and brand value for relevant seaborne trading activities.
• Anticipation, mitigation and resolution of trade incidents under the Trading team’s guidance, providing suggestions on mitigations strategies.
• Alerts to Team Leader and/or Traders/Charterers in case of material risk (e.g., missing LC, claims), deviance from the delegation of authority or any risk of breach of applicable Policies, in line with Holcim’s segregation of duties

Laundry Operator

Summary of Responsibilities:

The main responsibilities and tasks of this position are as listed below, but not limited to these:

• Daily checking of roster to ensure that sufficient manpower is available to operate the various types of pressing equipment.
• Coordinate the various pressing activities to meet the production requirements.

What will you do?
As Operator you will be responsible for:

• Efficient implementation, execution and supervision of assigned commercial contracts; pre-dominantly voyage charters, ensuring the highest financial results;

Role Purpose

Manage the day to day operations of the Swire Projects Fleet chartered vessels (at sea and in port) with strong focus on the parcel trades ex Far East & South East Asia, ensure the delivery of service excellence to all customers and stakeholders, and positioning Swire Projects as the partner of choice from an operations perspective.

Role Accountabilities

Vessel operations

· Liaise with regional offices (chartering and operations) to ensure the smooth operation of the owned and operated fleet across basins.

· Execute “State-of-the-Art” operations of the chartered fleet of Projects’ MPPs or Bulkcarriers to increase wherever possible the efficiency of the fleet at sea (routing / slow steaming) and ashore (stow planning vs port line-ups, intake optimization) to maximise returns for Swire Projects / CNCo.

· In conjunction with the bunker desk and chartering team, optimize & manage the bunker requirements of the owned and chartered fleet.

Port Operations/Supervision

· Intimate knowledge of port operations associated with the Swire Projects trade routes, in particular the Far East & South East Asian parcelling trades & counterparties, its ports, cargoes, separations and specific CP terms (CQD), tidal loading, etc.

· Close communicate & cooperation with the designated Chartering Managers, being on top of local developments and remain a pro-active approach in reg to port congestion, change of rotation and/or cargo stows, port line-ups, etc.

· Ensure the smooth loading / discharging operations, expediting vessels in port, liaising with port agents & authorities and co-ordinate with owners/charterers operations staff to ensure win-win outcomes.

· Strong operational & legal knowledge about cargo documents, such as M/R + B/L, Manifest, Cargo + IMDG declarations, LoI’s

· Liaise with regional offices, masters and the operations team to ensure max intakes and best stow, and that port operations are optimised in line with the agreed CP terms.

· Ensure that all cargo and stability information is available, paying particular attention to the allowed max drafts & loadline requirements that will be encountered en route.

· Monitor bunker requirements of the operated dry Projects fleet ensuring that the bunker planning for each voyage is appropriate. In conjunction with the bunker desk, and the relevant chartering manager evaluate alternative bunker supply ports, if necessary.

· To increase wherever possible the efficiency of the fleet in port (expediting discharge on CQD terms) to maximise returns (and operational cost savings) for the Swire Projects group always keeping in mind the agreed CP clauses for NOR tendering, load- /discharge- and Laytime terms.

Cost and Productivity control

· Manage the operated voyages with oversight and responsibility for timely IMOS entries / P&L variances and its reporting, hire payments, bunker payments, and freight invoices within the fleet operated.

· Accountability for closing outstanding files in a timely manner and within agreed KPI’s. Liaison with CNCo charterers, shippers and receivers to minimise and, together with GM / CM, solve any claims, and where necessary assume ownership and direction in the management, and solution of cargo and vessels claims.

· Working closely with Hire Desk/Finance team to ensure timely settlement / collection of pending TCI/TCO hires incl necessary deductions, avoid overpayments of TCI owners

· Close follow up with Post Fixture team on preparation of Freight Invoice, Laytime calculations and resp PFFI & FFI within the companies KPI

· Point of contact for Swire Projects’ financial controller

· Add Projects & Project work throughout all operational aspects, as defined case by case

· Manage port agency and survey costs, and costs for other vendors.

· Responsible for monitoring and the analysis of speed reduction programs.

· Responsibility for closing of all third party TC in vessel files, port files, DA’s and any other third party services used by the operations staff.

· Be fully responsible for the accuracy & timely/live updates of IMOS & the voyage P&L.

· Reporting any variance / change of the actual P&L vs the Chartering Managers estimate.

Cargo Handling and Claims

· Liaise with SP insurance, charterers, shippers/receivers and TC owners to minimise and solve claims. Alerting the chartering manager when claims and/or any potential problem with counterpart are arising and look for an amicable solution together.

Management reporting + Procedures and Standards

· Keep current and strictly implement procedures for reporting executed fixtures / various vessel performances / explain underlying variances (with the relevant chartering person for each voyage).

· Keeping up to date and strictly enforcing operating procedures across the owned and operated fleet and through the operations department to comply with the highest standards in our operating areas.

· Understand, follow and disseminate information on changing legislation directly affecting our business from Bimco, Imo, and other local, national and supranational bodies.

· Liaising with the technical / owners department for owned vessels.

Operational Excellence

· Be responsible for the operational excellence for the Swire Projects operated fleet. Always taking a pro-active position on continual improvement and implementing appropriate policies. Responsible for the maximisation of efficiency of the vessels at sea and in port, and responsibility for managing vessels P&L in the operational environment. Keep current and strictly implement procedures for reporting vessel performances (speed and consumption, hold cleaning, cargo separations) / explain underlying IMOS/P&L variances with the relevant chartering person for each operated voyage.

Commercial

· Protecting Swire Shipping position/rights whilst maintaining a commercial perspective with a view towards winning long term customer relationships and being our TC owners and cargo customers partner of choice.

AREAS OF RESPONSIBILITY

• Read all messages pertaining to individual vessels and take action as required
• Monitor vessels movements and update in house system Operations Module
• Archive all your vessel E-Mails on a regular basis using VoyageFile
• Responsible for executing voyage related activities starting from Pre–Fixture Planning stage to the Post–Fixture stage involving Claims and Demurrage submission.

SPOT VOYAGES

Pre – Fixture:

• Liaise with Chartering Officer in answering to Charterer’s Queries
• Send vessel’s Q88, trading certificates and fill up questionnaires as required by Charterer’s and send it to them.
• Ask vessel for stowage plan and send it to charterer’s after getting the same approved from the Operations Superintendent.

Vessel Fixed and Subjects Lifted:

• Get the Fixture Recap from Chartering Officer and study the same along with the C/P and Rider Clauses
• Forward the Fixture Recap to the vessel
• Liaise with brokers to get the voyage orders and forward the same to Master after going through it and making sure that the same is in line with the Recap.
• Follow up with Master for the final stowage plan and forward the same to Charterer’s after reviewing the same.
• Appoint Agents as required via DA outsourcing company.
• Obtain the authorization from the Fleet GM/his designate for making the necessary arrangements to remit to the agent's account
• Execute the voyage while always ensuring that legal aspects and liabilities are complied with.
• Provide proceeding instructions to Master as to what speed / consumption the vessel should comply with.

On Voyage Completion – Post Fixture:

• Ensure all Cargo Documents have been received from the Agent and Master
• Calculate Demurrage and Submit to Post Fixtures as required
• Reimbursement of Claims from Charterer’s if any
• Prepare Voyage Result of vessel and submit to Operations Manager

TIME CHARTER VOYAGES

Pre Time Charter:

• Liaise with Commercial for all pre-fixture queries and provide all Certificates, Questionnaires as required
• Send C/P to Master
• Ensure Delivery Notices are served on time

During Time Charter:

• Obtain necessary LOI(s) when required
• Negotiate and appoint Agents for husbandry matters
• Coordinate communication between parties involved in Charter
• Ensure Time Charter hire is billed promptly
• Also ensure Bunker ROB’s and other items as per C/P are billed

Prior Completion of Time Charter:

• Ensure delivery notices are served in time

OTHER DUTIES:

• Update TIME-Bar for all your vessels

SUMMARY OF THE JOB

The vessel operator is responsible for closely coordinating with Operators, Disponent Owners, Head Owners, and various stakeholders to ensure compliance with Group policies and procedures. Managing day-to-day operations of a fleet of time-chartered vessels, monitoring performance against charter party terms, optimizing transportation costs, and issuing voyage instructions. Additionally, to execute commercial contracts, working with various departments on financial and safety matters, manage deviations during supply ruptures, resolve voyage-related disputes, and oversee cargo logistics. The role also involves coordinating with ship managers on supplies, repairs, and dry-docking plans, and responding to urgent or emergency situations with immediate reporting to higher management. Overall, the focus is on ensuring operational readiness and maximizing efficiency in vessel operations.

MAIN ACTIVITIES / RESPONSIBILITIES

• Managing the activity related day-to-day operating of the fleet of time chartered vessels (period and/or TCT). which includes closely monitoring of vessels performance as per agreed Charter party terms.
• Preparing and issuing voyage instructions to the vessel Master in accordance with recap of main terms agreed / charter party.
• Execute, implement and supervise any commercial contracts, time charters performed by vessels under Holcim Shipping Pte Ltd, so that the highest possible voyage result can be achieved.
• Work closely with the Chartering and Senior Chartering Managers who provide voyage evaluations / voyage estimates / freight simulations and optimizations studies in accordance with established operational procedures.
• Work closely with the Accounts & controlling Department, specifically about receivables and payables, bunker auditing, and other related financial matters and monthly closings and other financial issues related to the voyages.
• Work closely with the HS&E Department, to obtain monthly near miss reports and incident reports from master, and report it into the iCare system.
• Work closely with the Internal Control Department, to upload documents as per the Control Self Assessment (CSA) for the Local Control Standards (ICS).
• Resolve disputes relating to the voyage to their best ability.
• Maximizing cargo lift by checking the deadweight calculations of vessels.
• Execute, control, monitor, voyage operations. Update and maintain system inputs into IMOS.
• Stemming bunkers for vessels according to prescribed specifications at most competitive rates in an efficient manner.
• Analyze shipping cargo documents, control and follow claims (agents, captains, owners, bunkers).
• Preparing / follow-up laytime calculations, freight invoices, final charter hire statements, cargo / hire / freight claims according to the charter party.
• Appoint agents via DIABOS and arrange payments of proforma port DA’s. Procuring the most competitive port agency fees and disbursements for load/discharge ports.
• Appoint a weather routing company, and analyze the post voyage performance report if the vessel has underperformed.
• Organize and plan on-hire/off-hire surveys and any other marine cargo/damage surveys as and when required.
• Respond to urgent / emergency situations with immediate reporting to Chartering Manager or Senior Chartering Manager and support crisis management teams.

About you:

• Degree/Diploma in Shipping and Maritime or equivalent
• At least 2 year(s) of working experience in the related field is required for this position.
• Excellent English, written and spoken
• Good communication skills and detailed working knowledge of dry bulk operations, particularly with Handy / Supramax trades, general ship knowledge, cargo operations, voyage performance, outstanding communication skills and a team approach.
• Good knowledge of fleet planning / voyage estimation / ship management / cargo operations
• Good knowledge of commercial shipping i.e. Vessel Operations, Charter Parties, Bills of Lading, Marine Claims and Insurance.
• Good knowledge of IMSBC Code.
• Good knowledge with Microsoft Windows, Excel, PowerPoint and experience with shipping application software (IMOS) is a must.
• Knowledge on pneumatic cement carriers & self-discharging vessel operations is preferable.
• Some knowledge of Ship construction, Ship stability, Load Line Rules, SOLAS, ISPS Code, ISM Code, Port State Control, marine surveys, Classification Society Rules /P&I Cubs.
• Knowledge on Laytime calculations is preferable.
