Job Responsibilities:

-Supports Operations Manager (OM) to ensure daily operations run smoothly.

-Monitors and tracks school’s facilities, and operating system/equipment, to ensure they are in order. He/she will follow-up with the vendors/Term Contractors (TCs) to ensure defects are rectified.

-Conducts daily check on school’s perimeter, building and infrastructure to ensure school safety and put up the fault reporting.

-Works closely with the team of Operations Support Officers (OSOs), TCs, contractors, service providers such as security guards, cleaners, vendors, and contractors etc. For example, he/she will lead the OSOs to set up the venues for school events such as examinations, meetings etc

-Provides administrative support to OM such as tracking of contractors’ work sheets, maintenance, and procurement.

-Liaises and corresponds with the external agencies such as HDB, Town Council, TCs, Managing Agent, and LTA contractors to ensure school has a conducive environment for teaching and learning.

-Any other duties as assigned by OM pertaining to school’s operation and safety.

Job Requirement

-At least 1 year experience in facilities or estate management or similar job scope

-Experience in school environment, or similar, is advantageous but not mandatory

-Some technical skills in Building and Mechanical and Electrical services

-Basic understanding of fire safety or facilities processes

-Good oral and written communication and able to communicate effectively with vendors and different stakeholders

-Proficient in basic Microsoft office (Word and Excel)

-Minimum qualification – GCE ‘O’ level or ITE certificate.

Job Responsibilities

Administrative duties include:

Admissions: Senior High (April end July), Junior High (Mid-April to End August, December)

Admissions Officer – Direct School Admission (DSA) for Junior High (JH) & Senior High (SH). Conceptualises the process, registration website, database of students, informing students and parents of test date, preparation for selection interview, compile final list, assist VP/Year Heads in answering and writing replies to parents and students. Assist VP/Year Head with Direct School Admission (DSA) /Joint Admission Exercise (JAE) appeal matters and student enrolments for returning Singaporean/International students.

Junior High Student Matters

1. Health (Mar to Apr) & dental screening (Feb) , National Registration Identity Card (NRIC), Quality of School Experience (QSE) survey (July) – To conceptualise and co-ordinate based on students’ timetable and informing personal mentors.

2. Conceptualised Junior High Parent-Teacher Meetings (PTM) (Apr, June, July)

3. 3rd language updates and liaising with Language centre

4. Sec 1 posting exercise (End Nov to Dec) 5. Junior High1 Orientation: Jan

6. School tour/Open house: Assist VP/Year Heads with website registration, school list analysis

Parents Support relations

1. Support Parent-In-Action (PAACT) with logistics for AGM, ParentIn-Action (PAACT) Executive Committee meetings, Principal-parent Meeting, teachers’ day celebration, coordinating PAACT membership registration during Junior High1 Orientation and informing parents of school events, updates from MOE etc.

2. PAACT Fund

Liaising with PAACT on printing, assignment and distribution of donation cards, parent registration etc.

Others

1. Learners engagement survey (by Semester)

2. Cover reception duty from 4 p.m. to 6 p.m. daily

3. Verification of students with HR agencies 4. Printing of Name Cards.

5. International Student Perception Survey 6. Covering duty of reception duty and Student Services Centre (SSC) when required.

Signage, donor board & partnership board.

Ad Hoc admin. duties

1. Assist in PTM & School Tours (on actual day)

2. Assisting in DSA JH & SH admission (Registration on actual day), e-mails & phone enquiries related to admissions)
