Job Description:

• Coordinate the daily schedule of the Chief International Business Office (CIBO).
• Arrange travel bookings, including flights, accommodations, and transportation.
• Handle visa applications for the CIBO team, liaising with travel agencies, embassies, and group companies to verify the latest visa requirements.
• Prioritize and manage CIBO’s calendar for optimal efficiency and productivity, keeping it updated via Microsoft Outlook.
• Manage and prioritize official communication, including phone calls and emails, for CIBO and the team, acting as the primary contact between internal and external stakeholders, including HQ executives in Japan.
• Plan and organize both internal and external meetings and events, ensuring timely communication and preparation with all relevant parties.
• Organize and manage company-level events, ensuring adherence to timelines and schedules, including booking venues and coordinating with participants and guests.
• Manage, reconcile, and verify CIBO and the team’s travel and entertainment expenses according to the company’s business expense policy, including preparation of travel applications, claims, and related forms.
• Organize and maintain records, files, and documents related to CIBO's activities.
• Draft and review memos, letters, and other correspondence.
• Ensure confidentiality and accuracy in handling sensitive information.
• Attend meetings with CIBO as requested, take detailed minutes, ensure follow-up actions, and report status.
• Advise executives by providing historical precedents and relevant information.

Job Requirements:

• Minimum 5 years of proven experience as an Executive Assistant or in a similar role.
• Communicate in English and Japanese at business level with the HQ stakeholders based in Japan.
• High level of discretion and professionalism when handling confidential information.

Duties And Responsibilities

Responsibilities:

• Prepare and follow up on lease agreements, ensuring all documents are properly stamped and filed.
• Conduct due diligence on new and existing tenants before issuing lease offers
• Verify lease terms comply with internal and authority guidelines, obtain necessary approvals, and update tenancy management systems.
• Trigger and manage rent review processes for applicable leases.
• Monitor and manage top-up requirements for banker guarantees.
• Work with lawyers to draft lease documents, supplemental agreements, and other letters as needed.
• Process refunds for expired/terminated leases and renovation deposits upon completion of works.
• Send letters to tenants regarding compliance issues and other lease-related matters.
• Participate in reasonable negotiations of lease terms within established parameters.
• Generate weekly/monthly reports for management, highlighting deviations from standard contracts and non-compliance issues.
• Update and maintain database, sort, scan, process, and file/e-file documents.
• Participate in ad hoc tasks and projects as assigned.
• Contribute to improvement of lease-related systems and processes through IT initiatives.

Requirements:

• Degree/ diploma in Business, Real Estate or a related field.
• At least 1 year of experience in the real estate industry, ideally in leasing.
• Excellent interpersonal, written, and communication skills.
• Ability to work effectively both independently and as part of a team.
• Meticulous attention to detail and excellent customer service orientation.
