Job Description Responsibilities:

• Ensure the projects are fully attended and completed to meet agreed deadlines
• Supervising the project progress to ensure that issues of the project are identified and solved
• Attend meetings, liaise and manage clients to complete project deliverables

Critical Work Functions and Key Tasks

• Manage day-to-day activities in the Program Management Office for related Logistics projects.

• Analyze with project managers on project timeline plan and ensure timely execution of key deliverables such as project approval preparations, costings and resource planning.

• Report and analyze delivery balance scorecard KPIs, including budget utilization and highlight any areas of concerns and work with stakeholders for resolutions.

• Lead and monitor closely all functional groups (IT), Operations and partners (if any) to ensure facility/ manpower/ system readiness.

• Initiate & implement process improvements opportunities to and performance dashboard for all stakeholders.

• Closely organize, monitor and implement projects with teams to ensure speedy operational stabilization, risk mitigations, signoffs and ensure closure.

• Manage and operationalize demand management process and guidelines with rigor in governance & compliance for yearly workplan.

• Organize, and support key users’ workshops, roadshows and events for materials/documentations.

• Support program/project IT audits with stakeholders and related secretariat duties.

Requirements/ Qualifications

• Degree or Diploma holder in relevant discipline

• Knowledge in process flow design and analysis, documentation work products including manuals, SOPs, training aides and process documents.

• Programme management experience; preferably in managing programs in a large-sized organization operating in a highly complex environment.

• Strategic thinking with ability to understand, interpret and apply policies as it applies to IT enablement; apply analytical and creative problem-solving skills.

• Good communication, consultation, negotiation and advocacy skills and a proven ability to establish and cultivate relationships with a variety of key stakeholders.

• Proven ability to initiate, manage and report on programme activities and identify issues affecting the performance outcomes of the project.

• Effective information-gathering, through meeting facilitation, one-on-one interactions and/or observations

• Proficient in Microsoft Office Excel, Word and PowerPoint. Knowledge in Tableau will be an added advantage.

JOB RESPONSIBILITIES:-

• Oversee daily clinic operations, including health screening and GP services
• Manage the front-of-house, including reception, patient check-ins, and customer service
• Ensure smooth and efficient patient flow, from registration to consultation and follow-ups
• Lead and support front-line and back-office staff, including receptionists and administrative personnel
• Oversee management of patient appointments, follow-ups, and record-keeping efficiently
• Address and resolve inquiries, complaints, disputes and issues with patients / external stakeholders with professionalism
• Liaise with external vendors, service providers, and healthcare professionals as needed
• Actively source and strategies to smoothen operational flows and enhance patient experience
• Work with external partners / clients / vendors (e.g. laboratory services) in ensuring accurate billing, and troubleshooting associated disputes
• Ensure proper filing and storage of medical forms, reports, and legal documents
• Maintain and monitor inventory, including medical supplies and clinic equipment
• Work closely with business development team in sourcing and maintaining corporate relationships
• Contribute to marketing efforts, including promotions and awareness campaigns
• Oversee hiring and training of staff
• Manage staff scheduling, assignments, and training to ensure optimal service levels
• Oversee clinic finances including accountability for profit and loss of clinic
• Oversee billing processes, insurance claims, corporate invoicing, cash collection, control measures and other financial operations
• Regular checks and audits on claims submission e.g. PMI, CPF, Govt Agencies etc
• Regular checks and audits on payment collections of credit card, cash, NETS and cheques from patients
• Ensure compliance with healthcare regulations, policies, and procedures
• Monitor clinic performance metrics and develop improvement plans when necessary
• Support management in identifying opportunities for process improvement
• Any other duties as may be assigned by Immediate Supervisor and/or the Management

Qualification & Experience: -

• Possess at least Diploma in any field
• Previous experience in healthcare or clinic management role
• Good understanding of health screening, GP operations and front-of-house management
• Passion for working in in healthcare industry
• Excellent organizational, multitasking, and leadership skills
• Exceptional interpersonal and communication skills
• Proficient in clinic management software, Microsoft Office, and other digital tools
• Ability to work in a fast-paced environment while maintaining attention to detail
• Customer service-oriented with a passion for patient care
