Your role

Our major Oil and Gas Downstream Client is looking for General Support Services/Logistics Coordinator who will oversee and execute the logistics operations at site during Turnaround (TA) to ensure they are executed safely and effectively. You will coordinate inputs from the multi-disciplinary leads to ensure their logistics needs are planned and met. You will also develop and implement the Logistics Plan for an assigned turnaround.

You will work with the TA team to set up and manage temporary facilities for the assigned turnaround to meet TA timeline requirements as well as perform cost estimates for TA logistics costs. You will working with staff and contractors to ensure their transport arrangements (buses, pick-ups, lorries) are in place and operating efficiently during TA.

In addition, you will provide scope for the logistics contracts and work with the CP focal point to ensure contracts are set up and activated as per TA timescale. You will need to be familiar with TA contracting strategy and how TA logistics activities impact the overall TA cost and schedule. You will raise MOCs for temporary facilities such as electrical power, water pipelines, tentages and office cabins. This includes liaison and applications for licenses with relevant Government authorities such as SCDF, BCA & NEA. • Liaise and work with APAC branches on the standardization of processes and procedure and perform review of APAC Branches’ IT related documents such as Procedure Manuals and Guidelines.
• Carry out regular compliance check on IT controls on Project Management, IT Security and Operation, and identify non-compliance and work with stakeholders to remediate the non-compliance areas.
• Identify and implement areas of improvements within IT for better productivity, better controls and higher efficiency on overall IT Operation.
• Be a Subject Matter Expert on topic related to Identity Access Management (IAM). This includes designing and implementing a comprehensive IAM framework that covers all aspects of identity management, access control, and privileged access management.
• Provide leadership and guidance to the technology teams to ensure that they adhere to the IAM policies and procedures, including user access management, identity verification, and security controls.
• Manage the implementation of an effective IAM toolset (e.g., SailPoint).
• Ensure that relevant controls are applied, e.g., review of end users' system access requests and ensure appropriate provisioning are granted with timely de-provisioning achieved and perform periodic review of users' access into IT system to ensure there are no unauthorized access.
• Provide review and assessment on user access matrix (UAM) for respective system and work with IT system owners to ensure proper segregation of duties are implemented within the system.

Qualifications:

• Bachelor's degree in IT or equivalent with min. 10 years of working experience with good knowledge and experience in IT Governance and Control function, preferably within the Financial Services sector.
• Strong leadership and people management skills, with experience in managing teams responsible for IAM and IT Auditing is an added advantage.
• Subject Matter Expert on Identity Access Management especially system and users' access control management in the technical aspect can be considered.
• Ability to identify the risk within process and develop control checks to ascertain the controls implemented are effective.
• Solid technical and functional knowledge of relevant regulatory and compliance requirements, with proven experience in applying legal/regulatory guidance into solving practical problems.
• Ability to work collaboratively with stakeholders at all levels of the organization (e.g. between HQ, APAC branches and Singapore teams).
• Good working knowledge of relevant industry standards and understanding of industry trends and products.
• Proven ability to understand, identify, analyse and communicate clearly the operational risks within processes.
• Good understanding of the overall System Development and Operational processes within the financial services industry.
• Ability to manage large workloads and tight deadlines and prioritize accordingly.
• Experience in IT Governance Reviews, Controls Testing and Assurance, and delivery of training.
• Excellent communication, presentation and interpersonal skills.
• Working experience on JIRA (workflow management system) and ServiceNow (ITSM/ITAM) is preferred.

Responsibilities we will trust you with:

1. RPA Solution Development: Collaborate with RPA Consultants/Technical Architects to develop efficient and robust RPA solutions. Participate in the entire RPA project lifecycle, from requirement gathering to post-implementation support.
2. Documentation: Create and maintain comprehensive Process Design Documentations (PDD) and Solution Design Documentations (SDD) for all RPA solutions. Document test scenarios and procedures to ensure accurate testing and validation of RPA processes and objects.
3. Proof-of-Concept and Prototyping: Utilize Agile/Scrum methodology to deliver RPA proof-of-concepts, prototypes, and Minimum Viable Products (MVPs) to demonstrate the viability of bots automation to stakeholders and end-users.
4. Business Case Development: Assist in constructing business cases and identifying opportunities for the continuous adoption of RPA solutions throughout the organization in Singapore and the region.
5. Project Support: Support RPA Project Managers in managing project schedules, ensuring high-quality deliverables, monitoring project budgets, and fostering positive relationships with end-users and stakeholders.

Your areas of knowledge and expertise that matter most for this role:

• Proven experience in Robotic Process Automation (RPA) development and implementation. Experience with leading RPA platforms and tools is highly desirable.

Responsibilities

1. Involved in full spectrum on bi-monthly payroll process for staff strength of 500 headcount by using Timesoft payroll software via bank GIRO transfer.
2. Ensure all monthly or ad-hoc payments and deductions are correctly updated into the payroll system.
3. Submit NS make-up claims, handle annual IRAS Auto-Inclusion Scheme exercise, preparation & submission of income tax clearance (IR21) for foreign employees leaving company, monthly CPF submission, other government leave claims such as Childcare/Maternity/Paternity and course funds from e2i.
4. Process manual payroll computation for monthly intern/new hire/resigned staffs.
5. Prepare payroll GL report for mid & end closing for management’s review/approval.
6. Process reimbursement claim for staffs’ expense (Such as: Petty cash, Medical/dental, cab claim per diem and other expenses)
7. Handle payroll audit and liaison with internal and external auditors.
8. Maintain knowledge of and complies with all payroll policies and procedures
9. Co-ordination with HR on staff issues and enquiries on payroll related matters.
10. Monitor payroll deadlines and ensure timely delivery.
11. Support other HR related matter from time to time and other ad-hoc duties as assigned.
