MAIN PURPOSE

The Logistics Administrator is responsible for timely and accurate processing of receipt, dispatch and transport of customer goods in the most cost effective and efficient manner whilst ensuring all such activities enhance the customer service objectives of the Company.

* Responsible for handling daily warehousing operation to ensure that customer delivery schedules are met to provide customer satisfaction.

* Responsible to close Cycle Count activities to ensure timely approval cycle count sheet and completion of items count per the cut-off timeline to ensure compliance.

* Coordinate the quarterly destruction activities with stakeholders. Ensure license availability for the items, create Destruction Order and generate commercial invoice for permit application. As well as provide Finance with the cost center to cross charge.

* Request for quarterly freight rates quotation from freight vendors.

* Request for ad-hoc freight quotation and arrange for inbound packaging materials shipment.

* Perform detailed freight audit for billing and invoicing.

* Submit monthly data into Freight Analytics Tool.

* Support printer Installation Qualification (IQ) when required.

* Support the execution of supply chain related projects and other incidental duties.

• Verify that all temperature services are correctly detailed on the quote.

• Assist completion of Technical Queries and Quality Incident reports on issues relating to temperature services. Perform thorough investigations of temperature recordings versus transit history when required
• Monitor the temperature excursions recorded by Almac Clinical Services. Completing key performance indicator and root cause analysis reports for Almac and customers
• Support Business Development department to advise on Temperature Services
• Present updates on Temperature Surveillance offering to internal stakeholders
• Maximise efficiency through successful time management and the ability to prioritise daily activities independently
• Maintain folders in Livelink to a high standard to ensure full information regarding temperature services is available in the project file
• Complete departmental Key Performance Indicators (KPIs) for specific projects as required
• Ensure all internal and external customer contact is carried out with a high level of professionalism in order to develop and maintain good working relationships
• Receive and follow through on all queries ensuring a response is supplied in a timely manner
• Attend teleconferences and meetings with customer as required
• Perform all tasks within the necessary timeframe defined for each project
• Take minutes and generate agendas and action items for customer meetings and teleconferences
• Generate routine customer specific report
• Deal with customer complaints according to defined procedures and escalate to the Manager as appropriate
• Adhere to all SOPs and GMP requirements.
• Work to a high level of detail and accuracy on all GMP documentation.

Job Requirements

• Min NITEC in any course
• Experience in Project management will be highly advantageous
• Experience handling temperature sensitive shipping is required for the role
