• Perform balancing of currency positions with Treasury front office
• Perform reconciliation of FX/MM SWIFT confirmation and carry out follow up actions where necessary
• Process brokerage claims
• Follow up on discrepancy claims with counterparty
• Develop recommendations for continuous improvement and work flow efficiency and to mitigate operational risk, if any
• Participate in drills, projects, initiatives, system enhancements and UATs

Main Responsibilities

• Ensure all counterparts are entered and updated in system for timely arrangement of hire payments
• Review and post invoices for freight promptly upon completion of loading of cargoes. Forward invoices to charterers and follows up for receipt of timely remittance
• Interact and coordinate on a daily basis with members of the operations and trading team on any issues arising especially on collections
• Ensure cash is applied correctly
• Update the daily cash log for wire transfers used and cash receipts. Code cash receipts with counterparty information for postings
• Process disbursement account advances requested by vessel operators
• Review, reconcile, and record vessel disbursement accounts. Re-bills vessel/voyages related owner/charterer items as needed and facilitates timely settlement with port agents
• Receive, reconcile, and settle invoices for broker commission. Settles same with brokers on a timely basis following freight group policies
• Handle bunker invoices and miscellaneous invoices with settlements pending and create timely wire transfer request for settlement with counterparties.
• Review and post periodic hire statements for sub-time-chartered vessels, which may include performance claims, off-hires, interim/final hold cleaning, cables/victuals/representation, owner items, etc. Forwards invoices to charterers and follows up for receipt of timely remittances
• Review accounts receivable and vendor aging reports daily, paying close attention to the collection of funds due and following up promptly as required
• Close vessel files timely within 90-day window of redelivery settling all aspects of the voyage and any/all outstanding hire
• Assisting in providing documentation to the reporting division to support annual audit across the entire platform

Requirements

· Polytechnic /Diploma in accountancy or LCCI diploma in accountancy or equivalent

· 1 - 3 years related experience is preferred

· Proficiency with MS Word, Excel, IMOS accounting software preferred

· Fresh graduates are welcome to apply

JOB PURPOSE: (Role Summary)

The Accounts Executive will be responsible for supporting the Senior Accounts Executive in all aspects of day-to-day accounting functions and operational activities. This position reports to the Senior Accounts Executive and to the Company Accounts and Finance Head.

KEY AREAS OF RESPONSIBILITY:

The responsibilities shall mainly include:

Accounts

1.Accounts payable review including:

a. Vendor Payments (starting from issue of PO, obtaining approval, vendor bill review, rebilling, payment monitoring, vendor account reconciliation and closure in Accounting system)

b. Expenses review (recording in Accounting systems, verification with policies, documentation and approvals review, etc.).

c. Salary (including yearly bonus) and reimbursement processing, verification and approval from management.

2. Petty Cash management

3. Supporting in closure of pending Sales orders, invoicing, documentation required thereof.

4. Bank statement and bank reconciliation review.

5. Ledger Scrutiny and reconciliation on monthly basis.

Statutory compliances

Annual Compliance management with statutory requirements (including applicable laws, Insurance, safety regulations, requirements of Ministry of Manpower, etc.)

GST compliance:

Supporting in preparation of GST working and submission of quarterly GST return.

Documentation review (e.g. Sign and stamp on delivery notes for zero rated sales)

HR

Documentation review of employees.

Leave and attendance record maintenance.

Administration

Processing of employee Visa application, Ministry of Manpower pass requirements, etc.

Inventory Management

Responsible to manage and review Inventory control in Zoho for receipts, issues, stock balance.

Review and monitoring of consistency between physical stock taking and accounting records.

Miscellaneous

Fixed Asset register including annual physical verification.

Maintenance and preparation of documentation including policies and processes.

MIS reporting as and when needed.

General

Liaising with internal stakeholders and external stakeholders such as Banks, Auditors, Recruitment Agencies, Vendors, etc.

Position: Accounts Executive (AP):

Working in a dynamic and diversified team, the Accounts Executive will be reporting to Assistant Accountant. This role aims to assist and collaborate with Assistant Accountant in accounts payable tasks.

What you are expected

· Perform day to day verification and recording of expenditures and payments, including vendor invoices, petty cash claims and staff claims

· Responding to vendor enquiries

· Understand expense accounts and cost centres

· Perform month-end closing in prepayment amortisation and deposit paid schedules

· Support statutory audit, tax filing and other statutory reports

· Understands compliance issues around accounts payable processes (GST/ WHT)

· Perform other administrative responsibilities not mentioned above

· Report to Assistant Accountant

What we are looking for

· Minimum Nitec in accountancy, LCCI or related field

· Preferably with at least 2 to 3 years’ relevant job experience in AP function, especially in flexible workspace environment

· Knowledge of Oracle NetSuite ERP would be an advantage

· Possess strong communication skill in written English

· Able to work in a fast-paced environment

· Must be meticulous, able to work in team and within stipulated timelines

· Able to initiate process improvement
