Position Overview: The Administrative Executive is a key support role responsible for providing administrative and organizational assistance to ensure the smooth functioning of the organization. We are seeking a highly organized and detail-oriented Administrative & Executive Assistant to join our team. This role is essential in managing the daily operations of our office, ensuring administrative efficiency, and providing comprehensive support to our senior leadership team. The ideal candidate is proactive, efficient, and capable of handling a variety of tasks in a dynamic environment.

Key Responsibilities:

• Administrative Duties:
  • Manage day-to-day administrative tasks, including reception duties, managing correspondence, and documentation, with professionalism and efficiency.
  • Coordinate meetings, appointments, and travel arrangements for the team, including itineraries and expense reporting.
  • Prepare and format documents, reports, and presentations as required for project team.
• Office Operations:
  • Oversee office supply inventory, order supplies, and manage vendor relationships to ensure cost-effectiveness.
  • Ensure the office environment is well-maintained, including managing any facility-related issues.
  • Coordinate office maintenance and liaise with building management and external vendors for repairs and services.
  • Assist in the planning and execution of company events, meetings, and team-building activities.
  • Support IT and office equipment needs.
• Executive Assistant Support:
  • Provide high-level administrative support to senior leadership, including calendar management, meeting coordination, preparation of materials, travel arrangements and expense claims.
  • Handle confidential and sensitive information with the utmost discretion.
  • Prepare detailed reports, presentations, and other documents for executive meetings.
  • Coordinate with other departments to ensure seamless communication and collaboration on company-wide initiatives.

Responsibilities

• Work closely with the Assistant Manager and provide courteous services to guests and responds efficiently and tactfully to guests' complaints, requests and enquiries
• Liaise closely with Concierge, Reception and Front Office cashier on guests' arrivals and departures
• Establish contacts with house guests/ long staying guests and renders assistance when neccessary
• Make courtesy calls to guests
• Requisite and keep stock of promotional materials for daily operations
• Ensure efficient and courteous services in baggage, transport handling and general enquiries

Requirements

• O-Level or equivalent
• Willing to perform rotating shifts
• Positive attitude with outgoing personality and good communication skills
• Experience in hospitality and knowledge of Opera will be advantageous

As a Temporary Senior Executive Assistant, Learning & Development, you will be responsible for the following duties:

• Coordinate the development and implementation of communication plans and outreach initiatives for the L&D department
• Coordinate the planning and execution of L&D programs and initiatives.
• Assist with the development and implementation of L&D strategies and policies.
• Manage vendor contracts and relationships for L&D services.
• Provide logistical support for L&D events, workshops, and training sessions.
• Maintain and update department resources and systems, including databases and software.
• Manage and track multiple projects simultaneously, prioritizing tasks and ensuring timely completion.
• Collaborate with cross-functional teams to advance L&D goals.
• Prepare project reports and status updates for the Director and other stakeholders.
• Assist with research, data analysis, and report preparation related to L&D initiatives.
• Manage the Director’s calendar and schedule appointments, meetings, and projects scheduling
• Screen and respond to emails, and written correspondence
• Any other ad hoc duties as assigned

Requirements

• Bachelor's degree in business administration, diploma will be considered in related field preferred
• 3-5 years of experience as an executive assistant or in a similar administrative role
