Coordinate all maintenacne and administrative staff assigned to the building / condominium.

Carry out all maintenance functions to the highest standard expected for the client and the subsidary proprietors.

Coordinate personnel of providing maintenance, finance, security, fire safety and car park management.

Ensure all contract works / rountine servicing are carried out accordingly as specified in their contracts agreement.

Review all contracts, agreements and insurance before their expiry and recommend renewal or call for quotation / tender.

Co-ordinate council meetings and general meeetings.

Key Responsibilities:

• Process accounts payable transactions accurately and timely in accordance with established procedures
• Verify vendor invoices and resolve any discrepancies or issues
• Ensure all invoices are properly approved and authorized for payment
• Prepare and process payments, including checks, wire transfers, and electronic payments
• Reconcile accounts payable ledger to ensure that all payments are properly accounted for
• Maintain vendor files and ensure accuracy of vendor information
• Prepare monthly accounts payable aging reports and assist with month-end close procedures
• Communicate with vendors to resolve issues or obtain additional information as needed
• Assist with other accounting duties as assigned by the supervisor

Qualifications and Requirements:

• Bachelor's degree in Accounting or Finance
• Minimum 3 years of experience in accounts payable
• Strong knowledge of accounting principles and procedures
• Familiarity with accounting software and systems
• Excellent attention to detail and accuracy
• Strong organizational skills and ability to prioritize tasks effectively
• Strong communication and interpersonal skills

Responsibilities:

· Manage full set of accounts, including invoicing, receipt updates, vendor invoice processing, payment arrangements, journal entries, inter-company charges, bank reconciliation, balance sheet schedules, fixed assets registers, and general ledger maintenance.

· Manage month-end closing process and ensure all month-end journals, AP and AR sections are closed promptly.

· Preparation of Monthly Financial Statements for Management Reporting.

· Prepare and Review all Balance Sheet Schedule to its control accounts including bank reconciliations.

· Liaise with external/internal auditors as required.

· Handle and ensure compliance with all finance filing requirements, audits, and tax filings

· Assist with forecasting and budgeting exercises

· Administrative duties such as checking of mails from letterbox, taking minutes of meeting for Staff Meetings, sending Whatsapp broadcast message, etc

· Any other ad-hoc duties as assigned.

Requirements:

· Minimum Diploma in Accountancy with at least 3 years’ working experience

· Possess strong analytical skills.

· Able to work independently while maintaining a strong team spirit.

· Dependable, responsible and possess positive working attitude

· Possess initiative and able to organize and prioritize work

· With experience of using accounting software

• Assist in the development, management, and implementation of the SingEdExcel framework across schools.
• Support the Vice President in monitoring, reviewing, and evaluating the effectiveness of the framework and the knowledge repository.
• Maintain documentation of all policies and procedures, ensuring they are up-to-date and accessible in the knowledge repository.
• Assist in organising professional learning sessions for school leaders on the SingEdExcel framework and SMM Knowledge Repository.
• Coordinate and manage documentation and evidence gathering for the EduTrust certification renewal exercise.
• Assist in the development and implementation of data protection policies and procedures.
• Support in conducting data protection risk assessments and audits across all schools.
• Monitor compliance with data protection laws and regulations and report findings to the Group DPO.
• Coordinate data protection training and awareness programmes for staff.
• Maintain comprehensive records of data processing activities and assist in the preparation of reports on data protection compliance.
• Other adhoc duties as assigned

Job Specification

• Recognised bachelor’s degree in Education, Business Administration, Quality Management, or a related field.

• Minimum of 3 years of experience in quality assurance, compliance management, or a related field.
