Condominium located at Choa Chu Kang area has 1 position for Admin Assistant. You will be deployed on site, and assist with the daily operations of the estate. The working hours are 9:00am-5:30pm on weekdays, and 9:00am to 1:00pm on alternate Saturdays. There will be a team of 3 staff on-site, who will rotate to operate the office on Saturdays.

Responsibilities and Essential Functions:

Management, Administration & Secretarial

• Assist the Condominium Manager on all matters relating to the administration of the condominium particularly on The Building Maintenance and Strata Management Act, all statutory regulations, and House Rules.

• Issue circulars and notices to subsidiary proprietors or residents, to comply with or remedy a breach of any by-laws and regulations and of those by-laws and regulations of the relevant authorities, as directed by the Management Corporation.

• Arrange all Council Meetings and record and circulate minutes of the meetings, whenever required. Frequency of such meetings shall be determined by the Management Corporation

• Maintain the list of authorized vehicles for overnight parking, access card registry, gate remote controls issued. Maintain the database of residents’ information and the Strata Roll.

• Ensure that documents, records and architectural, structural and M&E drawings are properly kept and maintained.

• Record and file the list of service contractors, and remind the Condominium Manager for contract renewal or changing of contractors.

Accounting And Finance
• Assist in general office duties, compile the letters and invoices for GEM HQ to collect.

• Update the Dropbox “collection” spreadsheet to GEM HQ on a weekly basis.

• Ensure that the office petty cash is fully accounted for.

Operation and Maintenance

• Receive in-coming phone calls or attend to residents at the work place.
• Assist in general office duties, including preparing the as-built drawings for respective service providers to study and carry out works. If the keys to the equipment and facilities are inside the Office, ensure the service providers return the keys at the end of each work day.

• Assist the Condominium Technician for safety if he is working at height.

Requirements:
- "N" Levels, "O" Levels, Diploma in Building Management / Facilities Management / Engineering / Accounting, or relevant certificates through work experience.

The scope of Services to be carried out by the PM shall include, but not limited to, the following:

viii. Integrate vendor/partner (internal customer) utilization of EAM360 for CM and PM maintenance
