About the Role

As a Strata Management Customer Service Executive, you’ll play a crucial role in ensuring a seamless experience for property owners during both unit handover and defects management. Work Dynamics - Integrated Facilities Management

Property Executive duties and responsibilities include planning and executing strategies for completing property management, periodic preventive maintenance, reactive maintenance and maintenance projects within KPI and in a timely manner. Supervising all property management, soft services, M&E services (include M&E minor project work), leading a team and vendor groups to manage and support the tactical delivery and be the on-site key point of contact for the key stakeholders. Requirements:

Office Admin Executive

Working day : Mon - Friday (9am -6pm)

Salary : $2500-$3500

Location : Taiseng

Responsibilities:

• Reports to Assistant Office Manager and is part of the Admin team
• In charge of day-to-day admin duties for office management and ensuring smooth operations of the office.
• Prepare and process the payment of administrative related invoices and property management expense tracking.
• Liaison with tenants/contractors for facility/property management.
• Tracking and updating maintenance contracts
• Involve in organizing company activities, team-building activities and corporate functions.
• Assist with purchasing office-related and pantry supplies.
• Source/review / administer company transportation leasing agreements.
• Review/administer corporate mobile phones and bills.
• Arrange for utilities and cable/internet connection for management.
• Assist in travel arrangements for corporate office staff as required.
• Provide assistance and support when the Receptionist is not on duty.
• Involved in all property related projects.
• Assist in taking minutes for essential meetings.
• Other duties assigned by Office Manager.

Procurement

• Develop and execute procurement strategies for construction materials, plants, equipments and its related ancillary services, ensuring alignment with company goals, quality and safety standards, and regulatory requirements.
• Negotiate contracts, terms, and conditions with suppliers to secure favourable pricing and payment terms and ensure long-term partnerships.
• Manage supplier relationships, conduct regular supplier performance reviews, and address any issues or disputes that may arise.
• Monitor and track supplier performance, including on-time delivery, quality control, and adherence to contractual obligations.
• Ensure compliance with relevant regulations, policies, and procedures related to procurement and construction sector.
• Prepare reports, metrics, and analysis related to procurement activities, supplier performance, and cost savings.
• Maintain accurate records related to procurement and facilities.
• Prepare reports and present findings to management.
• Assist with administrative tasks such as office leases, licences, and utility management.

Facilities Management

• Manage and maintain the properties within the Company's portfolio, develop and implement strategic plans for property management practices across the portfolio.
• Prepare and plan annual property management budgets, monitor expenses, and report any variances.
• Ensure compliance with relevant regulations, policies, and procedures related to facilities management and construction sector.
• Responsible for facility inspections and reporting. Conduct investigation for safety, hygiene and incidents and liaise with relevant vendors or contractors to implement rectification works.
• Initiate corrective measures to maintain a secure, safe and healthy work environment.
• Compliance to the safety and standards of accreditation or regulatory agencies.
