• Liase with internal (finance, customer service and logistics department) and external stakeholders (vendors)

• Prepare Quotation manually for Hand Pallet Trucks

• Handle monthly stationery requisition for Sales team

• Monitor shipments and incoming trucks
• Update rental trucks details in SAP (IQ02)
• Update trade-in truck in K file
• Prepare and submit monthly report to a key customer
• Send updated available LINDE stock file to the Sales team a month

Job Requirement:

• Proficient in MS office
• Working knowledge in SAP / Salesforce will be an added advantage

Requirement

Administrative Assistant supporting Sales and Aftermarket sales activities from Quotation, Order Acknowledgement, Invoicing submission and follow up.

Primary:

• Receive and acknowledge enquiries from clients.
• Raise quotation according to customer’s requirement.
• Coordinate with Service manager on any technical issues arise from sales enquires.
• Communication with customer on any issues regarding enquiries, quotes and order acknowledgment.

GENERAL DESCRIPTION:

The Logistics Assistant oversees receiving and delivering of goods, maintaining of goods in staging area and in ensuring proper housekeeping.

DUTIES / RESPONSIBILITIES:

- Process goods receipt for incoming orders and expensed out outgoing transactions in Oracle system and updating of MR report

- Ensure all transactions are closed out in oracle prior to month end closing

- Perform verification of incoming and outgoing items/parts to ensure transaction accuracy

- Access in-transit storage space as and when required to accommodate any surge of incoming orders to meet the project schedule

- Responsible for handling of heavy goods with the use of reach truck/stacker, loading, unloading, picking, packing, sorting, and labelling of items/parts according to the ROV system material requisition

- Ensure the completeness and accuracy of the inward & outward shipping document filing and updating of shipment log

- Prepare outgoing Shipping documents such as Material Transfer/Packing list and Commercial invoice

- Follow up action on RMA items received from Backload shipments from Offshore

- General maintenance and proper housekeeping of the staging area.

- Maintain inventory of consumables items in warehouse and order as required.

- Perform periodic cycle count of the in-transit ship spares

- Weekly update of MR report to individual ROV system

- Other warehouse duties as and when assigned.

- Fulfills responsibilities under Company quality, health, safety, environmental, stop-the-job and substances abuse Zero tolerance policies and QHSE rules, regulations and procedures requirements and practice quality, health, safety, environment, and welfare aspects of the company.

JOB SPECIFICATION:

Qualifications

- Minimum GCE ‘O’ Level / SPM

Experience

- At least 2 years working experience in related field

- Oracle experience is an added advantage

Special Skills / Knowledge

- Computer literate

- Ability to multitask

- Proficient in written and spoken English

- Export shipment to IMCO/IATA packing standards/proficiency & competency necessary & essential

- Experience in operating 3T forklift desirable. With forklift certificate preferred

- DG/Hazmat knowledge
