Your Impact and Contribution

You will be responsible for the Finance and Accounting function of Autism Association Singapore in the following areas:

• Responsible for timely closing of monthly/yearly financial accounts, preparation of financial statements for centres and HQ.

• Responsible for accounting processes and tasks (include AP & AR, GL, fixed assets management, donation management, accounts reconciliation, over & under funding computation, journals, audit schedules preparation, grant management, GST computation & filing, Cash management, Fixed deposit management, Maintenance of master data for AP in SAP etc.)

• Coordinate and liaise with internal parties for school, centres and head quarters

• Support annual audit, forecasting and budgeting exercise

• Coordinate and liaise with external parties like external auditors, funding agencies where required

• Support and ensure compliance with all finance filing requirements, special audits, procedures and forms – internal and funding agencies

• Support in new processes and system implementation when required

• Support in ensuring strong internal control and corporate governance are in place and give recommendation as necessary

• Other duties as assigned by Finance Manager

Qualifications and Requirements:

· Degree/Diploma in Accountancy, Finance or its equivalent

Skills/Pre-requisite

· Well-versed in MS office, especially MS Excel and Word

· Working and hands on knowledge of SAP (preferred)

· A self-starter who is able to plan, organize and take initiative to meet job objectives and deadlines independently.

· Meticulous, like details and can handle full set of accounts

· Can-do attitude, driven and passionate about work

· Strong verbal and written communication skills

Key Responsibilities:

• Accounts Management: Handle essential bookkeeping tasks, including accounts payable and receivable, ensuring timely and accurate processing of invoices and bank reconciliations.
• Payroll Processing: Oversee payroll activities to guarantee prompt and precise payments to employees.
• Financial Reporting: Prepare and maintain financial reports to support budget tracking and forecasting efforts.
• Tax and Audit Support: Coordinate with external accountants for tax preparation and assist in financial audit processes as required.
• Expense Tracking: Monitor company expenses against budgets, providing insights for cost management and suggesting areas for improvement.
• Ad-Hoc Projects: Assist with various ad-hoc projects and tasks assigned by management, showcasing adaptability to meet evolving startup needs.
• Process Improvement: Contribute to the continuous improvement of bookkeeping and administrative processes, proposing and implementing best practices.
• Operational Efficiency: Support the team in streamlining operations and ensuring compliance with relevant financial regulations, enhancing overall organizational efficiency.

• High school diploma or equivalent qualification.
• At least 2 years of experience in an accounting or bookkeeping role is preferred.
• Proficiency with accounting software and MS Office Suite, particularly Excel.

Job Responsibilities

• Organise & coordinate training programmes according to the organisation/department’s needs and staff development plans.
• Offer course guidance and counsel to staff members to effectively bridge skill gaps aligned to their Individual Development Plan (IDP).
• Provide logistical and administrative support (prepare training materials, venue set up/tea break arrangement, course confirmation/communication to the participants, their managers and trainers, etc.), administer training bond as required, course evaluation and reporting, maintain up-to-date training records and cost management.
• Manage training and grant administration on Training Partners Gateway (TPGateway) for WSQ course offerings.
• Provide secretariat support for the CommCare engagement series in coordinating logistics, managing registrations and liaising with speakers and sponsors.
• Process invoice and payment with Finance, training providers and vendors.
• Generate & sense make learning and post-learning reports through evaluation survey findings with improvement recommendations.
• Collate and track data/ information/ statistics for regular reporting on learning and training effectiveness.
• Implement and administer the Learning Management Systems (LMS) by managing and maintaining all areas, content, and user configuration within the LMS.
• Collaborate with necessary departments to maintain function, relevancy and accuracy of systems and integration.
• Deliver stand-up training in corporate orientation.
• Review courseware to keep materials updated in consultation with the domain experts/curriculum developers/trainers.
• Update and monitor training budgets and funding sources and submit funding claims.
• Streamline & improve work processes and productivity with automation.
• Undertake any other ad-hoc duties as assigned, contributing flexibly and adaptively to the broader goals of the department.

Job Requirements

• Minimum Diploma/Advanced/Higher/Graduate Diploma in Business Studies/Management/Administration; Human Resource Management or equivalent.
• At least 3-5 years of relevant experience in a similar role, preferably in a healthcare/ community care setting.
• Prior experience in managing Grants on Training Partners Gateway (TPGateway) is highly advantageous.
• Good understanding of learning and development principles and methodologies.
• Proficient in using learning management systems and other relevant software tools such as Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Ability to work independently and as part of a team, managing priorities and meeting deadlines.
• Excellent organizational and multitasking abilities with exceptional attention to detail.
• Strong interpersonal and communication skills that enable you to work with people at all levels.
• Good written and spoken communication skills that allow you to inform and advise others clearly.

• RETAIL SALES DEVELOPMENT
  • Support SRM in building effective communication tools to share sales datas to retail team
  • Prepare weekly and monthly sales performance deck and present to Retail Team hand in hand with SRM
  • Assist SRM in building effective incentive plan based on marketing & business needs
  • Coordinate, verify and share result of incentive & commission to sales team on a monthly basis
  • Visit point of sales on a weekly basis and ensure counter / boutique needs are met

• RETAIL STAFF MANAGEMENT
  • Monitor key retail KPI and provide quantitative report to SRM
  • Review retail team productivity and gather retail team needs in term of coaching & training
  • Ensure new product launches information are well disseminated to the retail team:
    • Prepare deck including all information related to new launch in partnership with Marketing Team
  • Create a positive and strong synergy within the team, ensure positive mindset

• RETAIL EXCELLENCE
  • Lead Mystery shopping Execution
    • Communicate and feedback to the retail team on key learnings and areas of improvement
  • Assist SRM during in/out of store event and ensure perfect execution with high level of service
  • Lead Bee Gold App (CRM tool) campaigns execution to strengthen Retail Staff relationship with Guerlain members and increase retail sales:
    • Create campaign based on marketing & business priorities
    • Ensure customer focus list is well defined
    • Monitor, review and analyze campaign performance
  • Work hand in hand with Marketing Team on developing the high clienteling network by reviewing the database and spending of Guerlain customers

• REPORT / ANALYSIS
  • Provide weekly & monthly sales analysis on Guerlain’s performance
  • Provide Boutiques report on a monthly basis
  • Provide monthly competitor’s report
  • Create purchase order on a monthly basis for all retail matters

PRIMARY OBJECTIVE

• Achieve Target Revenue/Profit assigned on annual basis
• Achieve Target New Customer Acquisition assigned on annual basis
• Handle marketing, relationship management and business development among the existing client base including defending and deepening the relationships as well as cross selling
• Manage loan Asset/Corporate Bonds Quality (if applicable) & assist Team Head in any Debt Restructuring exercise (if applicable).

• Preparation of internal governance, production of winning proposals and presentations to drive business growth.

• Coordinates with other End Markets and Regions to ensure that the RFP scope is addressed adequately and all costs are accurately considered.

• Obtains quotes from sub-consultants as required and negotiates appropriate terms and conditions based on AECOM's standard contract and risk committee requirements.

• Preparation of compelling proposals with win themes based on a complete understanding of client needs.

• Understands the competition and market trends and works closely with the Major Pursuits Team on strategic pursuits.

• Verifies that all legal qualifications and the Southeast Asia risk committee directives have been included in the final bid document before submission to the client.

JOB RESPONSIBILITIES:

• Ensure excellent service standards, respond efficiently to customers’ needs and maintain a high level of customer satisfaction.

• Handle and resolve our patient’s enquiries and/or feedback in a professional and tactful manner, including answering of phone calls.

• Main tasks include receiving patients at Reception counter/lounge, assist with Patient Registration, Billing/Payment and other administrative front-desk tasks.

• Assist with ad-hoc tasks assigned by the Management.

REQUIREMENTS:

• Preferably with 2 years of relevant experience in healthcare or similar capacity.
