Responsibilities

• Assist and backup in general administrative and clerical support for other departments
• Administration and maintaining of leave
• Answer, screen and forward phone calls and practice good telephone etiquette
• Assist and ensure prompt submission of reports to relevant departments
• Attend to visitors and prepare meeting rooms and corporate gifts
• Maintain proper filing system of all documentation/records files
• Sorting, filing and keying of Delivery Tickets and Trip Pay from customers
• In charge of operation supplies such as uniforms, accoutrements, stationary, pantry toiletries and etc
• Other duties as assign by HOD

Requirements

• High level of integrity and discretion
• Meticulous
• Fluent in English, which includes the ability to read and write
• Able to work under tight deadlines in a fast-paced environment
• Proficient in Microsoft Office applications

Working Location: Joo Koon [3 bus stops away from Joo Koon Bus Interchange]

Working hours: Monday - Friday 8.30am to 5.30pm

Key Responsibilities:

• Oversee the daily operations of the office, including coordinating office activities, managing schedules, and ensuring a smooth workflow to support the team’s productivity.
• Provide comprehensive administrative support to the management team, including handling correspondence, managing records, preparing reports, and organizing meetings.
• Assist with budgeting, expense tracking, and financial reporting. Manage office supplies and vendor relationships, ensuring cost-effectiveness and timely procurement.
• Support HR functions such as recruitment, onboarding, employee engagement activities, and maintaining personnel records. Ensure compliance with company policies and procedures.
• Oversee the maintenance of office facilities, including managing space allocation, coordinating with service providers for repairs and upgrades, and ensuring a safe and conducive working environment.

Qualifications:

• Degree in Business Administration, Office Management, or a related field.
• Minimum of 3-5 years of experience in office management or a related administrative role.
• Proficiency in Mandarin to effectively communicate with Chinese-speaking clients and counterparts.
