Job Mandate

The Operations Head is primarily responsible for overseeing the daily operations of Customer Service, Marketing and overall Operations of branch. - Loading instructions for special loads like heavy and big shipments.

- Ensuring clear loading and buildup instructions.

- Ensure check on export manifest and manage disruptions (i.e. offloads) when needed.

- Control and enforce adherence to the AFLS processes i.e. Queue treatment & creation; flight planning; reassignment of shipments when applicable.

- Organize and steer local trucking operations in case applicable.

· Import:

· Communication

5. ULD and stock control

6. Finance and accounting

The responsibilities and tasks of the position are not limited to the above mentioned and change might occur in concert with direct Manager.

• Work closely with the EIC Centre Manager and Centre Admin to support the smooth running of operations and meet the programme’s targets, outcomes and quality of work.

• Deliver quality service, operational procedures & crisis management protocols that are aligned with other Centres to achieve impact across service delivery of the EIC programme.

Primary Duties or Responsibilities

Administrative and Operations:

• Be the first point of contact for parents and visitors to the Early Intervention Centre. Attend to all enquiries through calls and walk-ins and render assistance and support promptly. Channel enquiries to relevant personnel/departments. Maintain politeness, respect and professionalism at all times.
• Assist with reception duties and counter operations, temperature monitoring and key management (distribution/collection).
• Assist with the daily attendance taking in EIC and alert HQ IT of any discrepancies/errors with attendance taking in a prompt manner.
• Ensure that all incoming and out-going mails are recorded and despatched appropriately daily. Monitor postage stamps stock and replenish when stock runs low.

Facility/security/asset management

• Follow-up and work with Centre Manager and HQ Facilities on facility matters such as raising tickets, coordinating and attending to contractors. Ensure that work has been completed and the ticket is closed.
• Assist with monitoring the upkeep and hygiene of the centre through regular facility checks, and replenishment of first aid stock (e.g. replenishment of hand sanitisers).
• Maintain asset/inventory/disposal records and asset tagging when required. To assist with internal audit checks when required.
• Support coordination of centre emergency response briefings and fire drill exercises.

1. Tenancy Management

• End-to-end management of stall tenancies, from ensuring stalls are in tenantable condition, onboarding of new stallholders to processing applications of transfers, assignments, joint operators and termination as well as appeals for rental waivers, rebates and remissions etc.

The successful candidate will support the Service Monitoring Unit of the Customer Correspondence Unit (CCU) and responsible for managing, analysing data related to customer correspondence, as well as preparing reports and presentations to support CCU's operations.

What you will be working on

• Compile, monitor, and analyse statistics related to the Customer Correspondence Unit (CCU), including the productivity and performance of officers. Present findings through various data visualization formats for comprehensive reporting.
• Dive into data to derive insights on trending topics and issues in operations and perform forecasting to better manage resources and case load.
• Provide assistance to projects leveraging data to gather customer insights and enhance the overall customer experience. Effectively communicate analysis outcomes and key concepts through engaging presentations.
• Support the preparation of presentation decks for internal and external stakeholders to showcase the work/projects under CCU.
• Support operational functions that span across the department or various CCU teams, such as standardising scheme and category tagging across different Customer Relationship Management Systems (CRMS) from various outfits.
• Collate statistics from diverse Customer Correspondence Unit (CCU) teams or outfits. Additionally, contribute to the drafting of the monthly department newsletter, ensuring a harmonized and cohesive representation of information.

You’ll be a key team player in supporting our Senior Leadership team in a wide spectrum of business functions such as Facilities Management, IT Operations Management & HR Operations:

Facilities Management

• Ensure that our classrooms are in operable conditions based on defined SOPs: You’re in charge of maintaining a clean & conducive environment for our students to learn & team members to work in!
• Assist in project & contractor management: You’ll be actively involved in liaising with different contractors on renovation, repair & maintenance work.
• Implement & oversee office logistics management: As our very own Marie Kondo, you’ll be in charge of proposing & documenting a system that organises our logistics neatly & logically. The key components of this system will include:Categorisation guidelines based on use case & weight
  Maintenance schedule for all team members
  Weekly maintenance schedule for yourself (including cleaning areas seldom accessed by cleaners & consolidating used packaging & arranging for removal)
