• Coordinator all delivery requirements, e.g. couriers, quoting, booking, troubleshooting

• Job costing system administration, e.g. create jobs, prepare costing sheets, update job status in line with production milestones, raise supplier POs, receipt supplier invoices

• Brief and manage adhoc jobs for inventory programmes

• Ensure all relevant costs of the product is correctly recorded (including decoration,

packing, set up and delivery charges)

• Complete three quotes to determine best price for products

• Prepare quotes within one working day (up to three working days for complex quotes) and share timeframes with relevant stakeholders

• Send purchase orders to suppliers

• Maintain accurate records in WIP and shared drives for stakeholder visibility

• Update client service team with all ETAs on pre-production samples

• Undertake weekly active job reviews and update due dates as required

• Ensure the Quote Budget (Q/B) costs match the purchase before committing to RTC (ready to close)

Key Skills & Experiences

• Minimum of higher school education, preferably tertiary education in Business, Administration or Management

studies

• 3 to 5 years’ working experience in a similar role

• High level of interpersonal skills with positive attitude

• Strong communication, project and time management skills

• Highly responsive to client needs; demonstrated commitment to quality customer service

• Strong knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)

• Collate and manage all the details regarding the application for the assigned business vertical. Information could span from details of systems interfacing, content of the various data being posted, data held within the application etc.
• Support user community on business queries and guidance on better usage of the system on daily BAU activities.
• Clear understanding the scope of the project, the changes associated and support the Project Manager in impact assessment. Clearly document the rationale for projects where no impact is assessed.
• For project where there is an impact, play a governance role in ensuring that the design (in terms of the level of information required from source to core processing is aligned with the strategic data flow strategy.
• Collate and rationalise all stakeholders’ requirements and walkthrough these requirements with team
• Actively partnering with the team in the solutioning process to ensure that the business solutions being implemented are thought through from a long term, standardization, design for no operations, front-end configuration perspective.
• Assess and propose appropriate testing approach and sign off criteria to stakeholders and get concurrence.
• Overall UAT management in terms of UAT timeline, batch run/ re-run and managing the tester’s testing result.
• Prepare proper documentation on the data flow, design, business solutioning and testing approach in accordance with predefined template.

Qualifications:

• Bachelor's degree in a technical or business discipline or equivalent experience
• Team oriented and ability to work under pressure.
• Excellent execution skills in a multi-tasking mode and follow-up effectively.
• Self-starter with excellent communication and interpersonal skills.
• High level of accuracy & attention to detail.
• Knowledge of JIRA and SQL would be good to have

Main Duties and Responsibilities

Programme Planning & Scheduling

• Prepare Overall Schedule based on programme information.
• Plan and schedule timetables with scheduling system (Syllabus Plus) and release timetables within the given timeframe.
• Work with Heads of Schools to schedule assignments to academics (Full Time / Associates) and to ensure full-time academics are prioritized and optimally assigned to teaching assignments.
• Liaise with vendors for outsourced tasks, such as lecturer placement, issuance of contract, payroll processing, assessment marking fee, etc and support in providing necessary data and information where required.
• Managing and updating the pool of Associated Lecturers.
• Daily checking of assigned classes to ensure class starts as per scheduled.
• Liaise with University partners on scheduling related matters: students’ pathway, teaching load etc for assigned programmes.
• Provide accurate information and schedule promptly and updates to relevant stakeholders as and when necessary.

Resource Planning & Data Management

• Plan and manage resources (e.g. room, lecturers) using Syllabus Plus to ensure smooth delivery of programmes.
• Input, maintain and update information and data to student management system and / or other applicable applications.
• Ensure all assigned teaching staff and modules are registered with CPE.
• Liaise with the Programme Management team for customized student’s pathway, tutorial groupings, assessments, etc for the assigned programmes.

Exams

• Work with Exam Team to plan examination schedules for assigned programmes.
• Liaise with Exam Centre for main and re-exams.

Others

• Support in providing data during budgeting exercise.
• Support in conducting orientation to newly appointed associate lecturer.
• Any other ad-hoc duties as required by the company from time to time.

Requirements

• Diploma / Degree holder in any discipline with 1-3 years of experience in Private / Education Industry preferred
• Assist in events and orientation 2-4 times per year
• Good team working skills and a flexible approach to delivering team results.
• Ability to plan, prioritize and organize own work independently to achieve agreed results and, at times, under pressure.
• Good Oral and written communication skills and ability to liaise and network with internal and external stakeholders.
• Excellent administrative and organizational skills with good level of numeracy, accuracy and attention to detail.
• Good understanding of higher education qualifications in Singapore and Internationally.
• Good working knowledge of Microsoft Office applications including Word, PowerPoint and Excel. Knowledge and experience in using resource optimization tools will be advantageous.
