Job Description
ā Secretarial Support to (80%)
ā¢ Assist to maximise the C-Suitesā working calendar to ensure good time management
ā¢ Including business travel and meeting arrangements within recommended safety parameters, etc.
ā¢ Manage C-Suitesā work-related documents for relevant endorsement and/or filing
ā¢ Including arrangements for travel related documents, business registration documents, etc.
ā¢ Organise and arrange business lunches, dinners, offsite meetings with business associates
ā¢ Arrange travel and accommodations
ā¢ Welcome C-Suitesā guests by greeting them, and direct them to appropriate place
ā¢ Assist and support officersā guests from overseas for their logistics, accommodations, and setting meeting schedule.
ā¢ Manage C-Suitesā incoming and outgoing documents effectively
ā¢ Manage corporate driver and vehicle to ensure that they are available at all reasonable times
ā¢ Support CFO/CSO and CEOās secretary when s/he is absent, not available, or need support (especially when s/he needs support)
ā¢ Officersā secretary support when Japanese communication is needed
ā¢ Handle confidential documents ensuring they remain secure
ā¢ Perform other ad-hoc duties as assigned
ā Administrative Support of Corporate Development (20%)
ā¢ Organize and arrange business lunches, dinners, offsite meetings with business associates
ā¢ Manage documentsā orderly filing of physical documents and archiving of soft copy documents
ā¢ Book shared resources e.g. meeting rooms and company cars for meetings
ā¢ Submission of IT workflow requests, name cards for newcomers and any system support request.
ā¢ Other miscellaneous administrative support / ad-hoc tasks related with Corporate Development
Job Requirement
Education and Experience
ā¤At least a diploma in business management, business administration or equivalent
ā¤Experience: 2 years of experience in general administration with interest in trying out a secretary role
Skills and knowledge
ā¤ Business proficiency in Japanese to liaise with parent office in Tokyo
ā¤ Advance knowledge in corporate secretarial support, general administration and operational
ā¤ In-depth understanding of communication methods and tactics to ensure effective communication both in English and Japanese to liaise with Japan HQ
ā¤ Basic use of IT equipment and tools, such as E-mail (Outlook) and internet functions
ā¤ Advance knowledge of administrative software including word processing, EXCEL spreadsheets and presentation
ā¤ Meticulous and organized with excellent administrative skills
ā¤ Effective written, verbal and listening communications skills
ā¤ Teambuilding, stress, and time management skills in a fast-paced environment
ā¤ Required to prioritize as there will be multiple tasks at once and complete the tasks on time
ā¤ Required to manage tasks effectively while being interrupted frequently to meet the needs and requests of officers and employees
