This role is part of Singapore Discovery Centre's (SDC) Sales & Business Development department and will be responsible for SDC’s sales goals. The jobholder will plan, execute, and manage the sales of events, including but not limited to, pricing, day-to-day sales operations and working with internal departments to meet specifics requirements catered for each event. Successful candidate will report to Corporate Sales Team Lead.

Responsibilities:

• Develop and maintain long term business relationships with clients by providing consistent sales service, follow up on enquiries and rapport building
• Assist / oversee / participate in sales outreach events, trade & road shows and activities on need basis
• Provide accurate quotations to all sales enquiries in a timely manner
• Identify potential sales channels to develop strategies for new business opportunities and achievement of sales targets
• Recommend improvements that will positively impact sales and efficiency
• Coordinate, conduct visits and events enquiries visit with internal department to ensure smooth handover of events execution
• Ensure quotation to clients adhere to profit margin guidelines and expenditure to meet budget guidelines

Requirements:

Scope of Services

The Services required are set out as follows:

The Personnel shall be competent to assist the Head of Department to perform the following:

System Management

• To assist in maintaining the Resource Booking Service when needed

Logistic and stock taking

• Assist to manage and track all non-SSOE ICT/AVA resources and inventory (e.g. iPad, Microsoft Surface Pro, printers, etc.) with up-to-date documentation

• Stock-take and updates inventory records for school and audit purposes

• Maintain repair and loan records of ICT/AVA equipment

Support daily operations (AVA & IT)

• Assist in the planning and implementation of ICT-related programs (e.g. staff professional development in ICT, learning journey using ICT, cyber wellness program, etc.)

• Assist school-initiated ICT/AVA infrastructure projects, including providing progress report, manage vendors and contracts

• Gather ICT/AVA needs of the school

• Provide professional inputs and recommendation on ICT/AVA solutions that can meet the school’s need

• Implement preventive measures and maintenance for IT & AVA Equipment

• Assist Head of Department and ICT Associate/Manager in the preparation of all necessary administrative duties for the purchase and condemnation of AVA and ICT equipment

• Provide ICT/AVA/multimedia support for school events (e.g. on site and online streaming events)

• Assist in liaising with vendors for the maintenance and repairs of AVA and IT equipment

• Assist in troubleshooting and support for school-owned devices

• 1st level of troubleshooting of student-owned devices

• Understanding and support various operating system of student-owned devices (e.g. Chrome OS, IOS or Windows)

• Advising students on the proper use of student-owned device applications and online learning systems

• Supporting Home-Based Learning logistic loaning and school hotline help in terms of online learning portal or systems

• Checking and set-up of equipment used in classroom and for examinations such as portable speakers

• Assist in rectifying and identify equipment that requires maintenance work

• Troubleshooting of AV and IT equipment in classroom on a daily operation

• Providing support to teachers in the use of AV and IT equipment in classroom (e.g. Image and sound projection, observation video recording, School-owned device such as iPad and Chromebook support in classroom during lessons)

• Demonstrate comprehensive knowledge of Chrome OS and Chromebook functionality, including efficient navigation, app usage, file management, and troubleshooting, to support and enhance the educational experience in a school environment utilising Chromebooks as student devices.

• Assist to book resources in RBS via school timetable and upon ad-hoc request by teachers

Qualification, Skill & Experience of the Contractor’s Personnel

The Personnel shall minimally have the following qualifications, skills and experience:

Polytechnic Diploma in IT or equivalent

At least 2 years of relevant working experiences. Experiences in AV/IT support, Basic knowledge of troubshooting devices (Chrome, IOS or Windows operating system), Inventory management, video and photo editing will be an advantage

HR FUNCTIONS

• Assist the HR & Admin Manager in handling full spectrum of HR functions - recruitment, selection & employment, all Work Pass matters.
• Responsible for the full payroll functions in consultation with HR & Admin Manager
• Maintain, upkeep and ensured timely and accurate updates of HR database, all employee personal files and records are complete and treated in the strictest confidence
• Assist the HR & Admin Manager in reviewing training plans and career development for staff.
• Responsible to manage and update Time Attendance for payroll processing
• Manage and Liaise with Dormitory Operators for Dorm Check in/out, and other matters
• Assist the HR & Admin Manager in handling company insurance claims and reviews (Group Medical, Workmen Injury Compensation, Vehicle Insurance)
• Prepare submissions to government agencies, such as IRAS, NS claims, Government Paid leave claims and etc
• Conduct and complete market surveys from MOM, IRAS, CPF, WDA and various HR related surveys.
• Other ad-hoc duties as assigned by the Management.

ADMIN FUNCTIONS

• Lead HR Admin team, manage and improve the workflow to give strong support to operations and finance department
• Assist the HR & Admin Manager with vendor management and government grant applications
• Acquire and maintain office furnishing, equipment, and supplies eg. Stationery, photocopiers
• Maintain company assets such as desktops and laptops with help from IT outsourcing vendors
• Ensure that the office and pantry is well-maintained, organized and secure.

WHAT YOU NEED TO HAVE

• At least 4 to 5 years of relevant work experience in a similar role, preferably in the Construction Industry.
• Candidates with more years of experience will be considered for the Senior executive role
• Candidates with minimum GCE O level plus Certificate in Human Resource Management & above will have an advantage
• Well versed and knowledgeable in WPOL and EPOL applications and processes
• Familiar with HRIS & Payroll systems, preferably CuteOffice
• Good knowledge of employment laws and regulations
• Good communication and organization skills
• Enthusiastic, positive and resourceful
• Able to multi-task, organize, and prioritize work
• Proactive and initiative
• Preferably able to commence work at short notice

1. Responsible for monthly account closing for entities in the Group

2. Liaise with outsourced accounting firm and review the accounts prepared by them

3. Prepare monthly group consolidation & update management reporting

4. Oversee all statutory financial reporting to ensure compliance with financial reporting standards. Liaise with auditors to prepare audited financial statements and XBRL (for Singapore entities) for filing

5. Liaise with tax agents and regulatory agents on tax and any other related matters.

6. Other ad-hoc management & analysis report

Responsibilities:

• Liaises with 3rd party representative logistics and shipping companies, maintaining close contact via remote inspection solutions, video conferencing, telephone calls by email and in person while deliveries are on route to prevent delays in shipments.
• Liaises with Procurement team members and Finance department after the issuance of PO to make proper arrangements with buyers for Letter of Credit opening, down payment issues and payment after delivery
• Tracks shipment, prepares tracking report for MRF’s, PO’s delivery and follows up with vendors on invoicing and warranty issues, completing delivery of material without any shortage.
• Works with vendors to resolve invoicing issues, inconsistencies in the Purchase Order information relating to quantity and quality of materials that cause delay in critical shipments.
• Notifies project management team in a timely manner if a critical delivery is going to be late to decide on resolution or to source for replacement and alternatives to manage delay in project timeline
• Consolidates Marine Cargo Insurance for shipment and submit Marine Cargo Insurance claims where necessary.
• Liaises with Authorities (MPA, Customs), as applicable to apply for licenses and permits relating to expediting.
• Organises meeting with vendor, Freight forwarder and internal stakeholders on breakbulk shipment arrangement.

Requirements:

• Diploma in Supply Chain or equivalent
• Has 2-3 years of experience in shipping management, freight or relevant experience
• Experience in SAP will be an added advantage
• Able to work in a fast paced environment
• Possesses strong interpersonal skills
• On-the-job training will be provided
