Within our INSEAD Asia Campus located at the One-North district in Singapore, we have an in-house hotel, Residences. INSEAD’s Residences has 133 rooms and they are mainly catered for short stays for our Executive Education and Executive Degree participants as well as visiting staff and faculty.

We are hiring for 2 Front Desk Executives (full time and permanent positions) to join INSEAD’s Residences to provide quality services to our guests during their stay. The role will involve handling the activities of the Residences Front Office. Responsibilities will include handling guests’ reservations, registration, guest services, maintenance, and settlement of guests’ accounts at the Residence Front Office. In addition, each role will also take on 1 of the following administrative duties:

1 Administrative & Finance

• Coordinate and execute financial transactions and activities, such as bill payment, invoicing, sales transactions, cashiering, reports etc.
• Assist in the audit process by providing information, supporting documents, invoices, and data as requested
• Process vendor invoices according to internal procurement and payment processes

2 Guest Services, Housekeeping & Front Desk Operations

• Coordinate with outsourced parties (Housekeeping, Maintenance, Aircon, Landscape, Pest Control, and Security) in ensuring excellent guest services and room standards.
• Conduct preparatory room checks and inspections for expected arrival and occupied rooms to ensure quality standards.
• Ensure all housekeeping SOPs are in place, reviewed, and updated on regularly; and the relevant reports are submitted timely.

3 Reservations Operations

• Plan room inventories to maximize overall hotel revenue, based on future demand forecasts, current trends, and historical data
• Manage related email inquiries from customers within the response time of 24hours; and prepare the required reports relating to room reservations, etc.
• Maintain the room inventory on Amadeus accordingly to facilitate staff/faculty room booking.

The successful candidate should possess the following qualifications and qualities:

• At least a diploma or NITEC, in hospitality/tourism
• At least 3 to 5 years experience in hospitality/customer service industry will be preferred
• Proficient in OPERA systems
• Proficient in Microsoft Office
• Good written and spoken English
• A team player with good interpersonal skills
• Positive attitude and Pleasant disposition; Able to go above and beyond to exceed customers expectations
• Able to work shifts, weekends and public holidays

This is a 5-day a week roster system and includes the following shift schedules:

• 7am to 4pm
• 11am to 8pm
• 2pm to 11pm

Job Responsibilities:

• Address and promptly resolve customers' inquiries, feedback, and issues
• Coordinate with suppliers to place orders and ensure timely delivery of products
• Ensure customers' orders are effectively communicated to and fabricated by the production team
• Plan and efficiently manage the daily schedule for installation teams
• Maintain up-to-date monthly sales reports
• Schedule appointments with customers for the sales team
• Verify payment invoices for accuracy and process payments to suppliers

Our Client is a high-end watch company that originated in France. We seek a Regional Merchandising & Operations Executive (one-year contract-renewable) to to aid local markets in maximizing visibility and accessibility of High End Watches to potential clients.

Job Responsibilities:

HIGH-END STRATEGY & ACTION PLAN

· Analysis of High End Watch Business in all regional markets

· Execution and supportive action plan based on BU event calendar

· Collaborating with local watch and High End teams to arbitrate NLE novelty launches

· Collaborating with Partners’ team for ad-hoc activations requiring stock support

· Distribution of High End watch Product News

HIGH END STOCK MANAGEMENT

· SAP administrative support in product and shipment

· Liaison with FJW FWM Central and Asia team on creations availability, delivery and returns

· Liaison with Logistics on FJW FWM creations’ shipments and deliveries, including Cites and Carnet tracking

· Update of SEAO Stock file and maintaining boutique allocation, including SEAO Specialist, ASEAN, Vietnam and New Zealand

· Execute all SEAO watch travelling collections and events

· Following up with Local SAV and Central team on Repair and other Technical or strap Issues

HIGH END CREATION VISIBILITY & VM DISPLAY

· Constructive feedback on VM display tools based on commercial strategy

· Visiting the Boutiques regularly to ensure High End watch creations visibility are optimized

· Propose creations for PR shoots and media campaigns based on marketing strategies

Job Requirements

· You have at least 3 years of work experience, preferably in Luxury Retail or Hospitality industry

· Have related experience in stock management

· Have good analytical skills and can navigate complexity

· Strong interpersonal and stakeholder management skills

· Digitally and IT savvy with good command of MS office package including excel
