1. Clinic Assistant Objectives:

· Manage all general administrative duties and assist in the daily operations of the clinic(s) including patient escort, collection and/or delivery of medical reports, scheduling appointments for patients

· Respond to all email inquiries and incoming calls in a customer-centric manner

[What the role is]

The Records Management Department (RMD) oversees NEA’s records management practices. • Prepare weekly cash/bank position.

• Support the preparation of monthly cash flow forecast.

• Monthly reconcile all of Bank and payment gateway accounts and register bank interest and bank charges at the month end.

• Register month end Journal entries for accrual, depreciation, and prepayments.

• Register intercompany Journal entries on timely manner and co-ordinate with subsidiaries to register the corresponding intercompany entries.

• Assist in Intercompany reconciliation at the end of the month.

• Communicate with subsidiaries, banks and suppliers when needed.

• Ensure proper and timely filing of the documents.

• Any other adhoc admin duties as required by supervisors/managers.

Key responsibilities

•Ensure all transhipment containers discharging from 1st carriers are declared accurately and timely in Portnet system and loaded onto correct connecting carriers;

•Preparation of Loading Summary for Asia Regional Office, including full details of export-carriers, ports of loadings, total weight for stowage-planning purposes;

•Arrange to “roll out” excessive cargoes in close liaison with Asia Regional Office and Load Ports in the event of vessel full situation;

•Arrange 3rd party feeder space for destinations not served by our vessels

•Ensure timely receipt of “Rollover List” or “Shut-Out List”, as well as VIP List for containers to be protected;

•Ensure timely receipt of manifest from Import Documentation Department / Load Port for all vessels discharging in Singapore;

•Application for loading of Dangerous Goods (DG) / IMO cargoes with DG Medlog Department;

•Preparation of DG List, Reefer and Exceptional List for Master of vessels;

•Send out ‘Rollover Advise’ to all Port of Origins, Load and Discharging Ports in the event of a rollover situation;

•Preparation of ‘Daily Transhipment Advise’ for sending to Asia Regional Office and S.E.A agents, providing latest comprehensive updates of all transhipment containers lying in PSA for their reference and planning purposes;

•Undertake special projects that will help improve processes, create work efficiencies and benefit the organisation.

Requirements:

•Minimum Diploma/Degree in Shipping, Logistics & Supply Chain or equivalent;

•Minimum 0 to 3 years’ experience in container shipping or freight forwarding industry;

• Proficient with Microsoft Excel;Microsoft Outlook;Portnet;

•Meticulous with an eye for details;

•Ability to work under pressure;

•Good verbal and written communications skill;

•Initiative;

•Teamwork
