Job Description & Requirements
The Finance & Admin Executive is responsible in handling all day-to-day financial matters of Special Olympics Singapore, ensuring that proper accounting, reporting and governance is observed under standard Financial Reporting Standards. He/she is also required to provide administrative support to the Secretariat and the Board members, where necessary.
Key Responsibilities:
Accounts
1. Assist the Executive Director (ED) in preparing monthly income & expenditure reports
2. Reconcile monthly banking statements with invoices, payment vouchers, donations
3. Prepare staff monthly payroll, bonuses and claims for approval & processing.
4. Perform daily finance transactions and functions, (AP, AR, GL, Bank reconciliation etc.) in accounting software to ensure accuracy and completeness of accounting records.
5. To maintain a filing system of accounting record with proper supporting documents, verifying and posting accounting transactions while maintaining confidentiality.
6. Perform bank transactions when instructed
7. Prepare tax deductible receipts and official receipts
8. Help to prepare grant applications and generate reports for submissions
9. Manage and coordinate with external and internal auditor for audits and checks where applicable.
10. Periodic budget monitoring
11. Assist with any other task that may be assigned by ED
Administration
1. Provide assistance to the ED and other team members on office administrative matters.
2. Attend meetings, record and prepare minutes when assigned as the Secretariat to special projects e.g. Board meetings, Annual General Meeting, Extra-Ordinary Meeting, Committee Meetings, etc.
3. Maintain a proper filing system for correspondence and other documents
4. Assist with product & service procurement process (e.g. invite to quote/tender, and summarise, quotations)
5. Undertake routine correspondence and compile/ prepare draft reports
6. Maintain records of employees’ annual leave and medical leave
7. Oversee the inventory & maintenance of office equipment
8. Attend and assist SO Singapore activities/ events and other public awareness projects or invitations events, even outside office hours or on public holidays
9. Assist with any other task that may be assigned by ED
2. SKILLS
Microsoft Office Virtual Desktop Interface, Microsoft words, excel, MYOB and Quickbooks
Accounting and Financial reporting
Prior experience with Sports association / non-profit / charity will be advantageous

Minimum Years of Experience: Min 3 / Open to Fresh Grad

Minimum Qualification Level: Minimum Diploma / Degree in Accountancy from a recognised institution or equivalent professional qualifications (ACCA)
Field of Study: Finance, Accounting or a relevant field
4. REQUIREMENTS
1.Hands-on experience with accounting software, like MYOB or Quickbooks
2.In-depth knowledge of financial regulations and accounting processes.
3.Good understanding of bookkeeping procedures
4.Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)
5.Strong analytical, organizational and time management skills.
6.Meticulous and able to maintain confidentiality
7.Assist in problem solving, recommend improvements on the process flows and controls
8.Able to work both independently and deadline oriented
