Responsibilities:

• Planning of event program and operations workflow, and execution.
• Contracting process for service providers, mainly air ticketing, hotel, local transport. Staff will learn the process and acquaint with salient contract terms and conditions to best meet our requirements.
• Interaction with local government ministries/agencies supporting our events on delegate invitation/attendance, and communication with foreign delegates in making travel and accommodation arrangements.
• Working with travel agent, hotels and transport company on hospitality arrangement (i.e. booking of air ticket, hotel room, and chauffeured vehicle) for delegates.
• Maintaining database (in MS Excel) on hospitality arrangements accorded to each delegate and generate status update report.
• Any other tasks as may be assigned from time to time by your reporting officer and Director.

Requirements:

• Degree or Diploma holder.
• Preferably with 1 year of experience in related field, applicants with no experience may apply too.
• Proficiency in MS Office.
• Strong presentation, interpersonal, communication skills with client-service orientation.
• Meticulous and able to work with vast amount of figures/data.
• Good time management skills with the ability to prioritise, work under pressure and meet deadlines.

Objectives of this role

· Manage both our existing sales pipeline and development of new business opportunities

Required skills and qualifications

· Minimum 3-5 years' experience in Business Development

· Successful track record in B2B sales and negotiation, preferably in the Building Management Systems (BMS)

· Understanding of networking technology, surveillance is an added advantage

· Experience in sales techniques

· Proficiency in data analysis, forecasting, and budgeting

Senior Shipping Executive / Shipping Executive

Job Summary:

Job Responsibilities:

Import Shipments

• Coordinate with brand principals/suppliers, service providers to manage shipping arrangements (import)
• To check the best quotation before to decide the shipping mode for all import shipments
• To remind merchandisers if the freight cost is exceeded from landed cost calculation before arrange the shipment
• Follow up with brand principal on invoice & packing list
• Prepare payment if TT before shipment (ensure to deduct all Credit Notes if it is any)
• Issue SS upon confirmation of the shipment ETD with brand principal
• Liaise with freight forwarder review and negotiate freight rates & sailing schedule(ocean, air & courier)
• Compute landed cost for each shipment
• Monitor shipment once freight forwarder confirm the schedule
• Update the delivery schedule to Bus input shipment data into EPB
• Upon arrival of goods, monitor IQC status and inform Merchandiser to post the IQC. So that goods will be distributed to BUs. (assist merchandiser to monitor the IQC status)
• Inform merchandiser the shortage, damaged goods, discrepancies in quantities when do SS report for each job (Shipping Assistant job scope)
• Compile, review and confirm accuracy of payments and billings of external service then prepare payment for service providers
• Compile and submit monthly GST Giro payments to the Finance Department
• Analysis of monthly freight activities
• Generate monthly insurance reports and manage insurance claims
• Manage registrations of new service providers
• Renew/update license
• Monitor stock levels at external warehouses and update warehouse in charge/BUs (assist warehouse)

Export shipments

• Coordinate with Salesmen, Warehouse for the packing detail
• Record customer payment details to update account dept
• Coordinate with customer and forwarder regards to shipping arrangement
• Arrange shipment by courier/customer appointed forwarder
• Prepare export shipping documents
• Monitor warranty request and ensure replacements are sent out (NEW)
• Malaysia shipment to our own shop (usually take 2-3 hours to complete)
• Provide contracts-related advice to traders
• Review, draft and negotiate commercial contracts and relevant documents (including trading, hedging and shipping contracts)
• Ensure the organisation’s contract documents are accurate and well maintained in a systematic database
• Monitor, manage and provide summary reports on the status and performance of commercial contracts
• Liaise with internal and external parties to keep track of and manage contracts-related disputes and disagreements
• Assist in ad hoc projects as assigned

Job Requirements:

• Bachelor degree or equivalent (Business Administration, Maritime Studies or legal-related majors are preferred)
• At least 2 years’ work experience in oil trading industry and in similar role
• Meticulous, diligent and professional
• Good drafting and verbal communication skills
