• Work & Involve with vendors , primarily from India for purchase management , especially IT & marketing vendor
• Manage end-end procurement process which involves vendors, introduction & selection, contract management .
• Collaborate with cross functional teams at school to carry out the procurement process.
• Tracks and collates the procurement requests from the all sources, such as the procurement software system, WhatsApp, and mail
• Assists the Commercial and Procurement Manager in fulfilling procurement request from the campus and corporate office, be it capital expenditure or day-to-day items
• Works closely with the user department to understand their requirements
• Raises the procurement requests and approvals on behalf of the user department
• Complies to the negotiation guidelines of obtaining 3 quotes when the prices are above the threshold limit
• Assists the Commercial and Procurement Manager in negotiations with the vendors and reviewing the scope of work and payment terms
• Maintains the vendor database, reviews vendor satisfaction, and records gaps and areas of improvement for the future
• Ensures all vendor tickets are logged in the procurement system
• Maintains records of all requests, approvals, receipts and payments

Job Description:

・Ensures complete and accurate switched shipping documents, including vendors’ documents, received from bonded provider – group company - to be e-filed for purchase and sales recognition ( system vs. actual vs. data interface received at Accounting ), and audit purposes.
・Check accuracy for items related to payment for Navision invoices received from bonded provider – group company - for submission to Accounting.
・Ensure Original Navision invoices with authorized signatory are dispatched to the correct parties.
・Check accuracy of monthly insurance declaration for submission to Accounting.
・Check accuracy of operational freight invoices payable by Singapore within the month, where applicable.
・Ensure correct GST classifications for reporting and confirmation to Accounting.
・Communicate and follow-up with relevant parties for monthly overdue accounts payable and accounts receivable status list for payment schedule.
・Manage operational fixed assets status with relevant parties for up-to-date status, and annual report co-ordination.
・Ensure counter-measure and follow-up for operational issues related to payment from bonded provider – group company – to eliminate recurrences.
・Study and implement new initiatives/projects as assigned by Manager.
・Open to take on new assignments by Manager.

Job Requirements:

・Min. Diploma from a recognized tertiary institution or ‘A’ levels from a recognised tertiary institution
・Min. 4 years of relevant working experience
・Basic knowledge in Trade Compliance related
・Interpersonal & Social Skills: Receptive to working with diverse team of differing culture and nationalities (internal and external)
・Computer Skills: Intermediate excel, Excel Data Analysis, PowerPoint presentation & reporting
・Other Requirements: Ability to travel (mainly ASEAN countries), Good documentation management
