Job Description
As a (Senior) Operations & Projects Executive at The Working Capitol & Triple P Group, you will play a pivotal role in shaping and elevating our brands by ensuring a seemless operations & projects experience for all our members and partners by working with all stakeholders. You will be the enabler that ensure our operations & projects are well maintained to support new tenants, collaborating closely with the Facilities team, Sales Team, Marketing team etc to maintain projects across our portfolio of properties. Your work will enable us to provide an exceptional on/offboarding tenant experience at our spaces to continue to become Best Remote Work Solutions Provider & a Great Place to Work.
Key Responsibilities
Project Management Responsibilities:
- Assist in Project Oversight: Collaborate with the Design & Engagement Manager to obtain fit-out and design themes.Work with the Facilities team to prepare offices for new tenants, ensuring all defects are documented and addressed before move-in to ensure smooth on/offboarding and operations and ensure all works adhere to legal regulations
- Manage Project Schedules: Develop and maintain comprehensive project timelines using tools like Monday.com and Airtable, regularly updating based on progress and addressing potential delays proactively.
- Vendor Management: Oversee the selection, negotiation, and contract management of vendors for projects. Ensure timely and high-quality delivery from contractors. Ensure compliance with company’s procurement policy. Including budget management on OPEX and CAPEX.
- Liaise and maintain good landlord-tenant relationships and attend to tenants’ requests/feedback.
- Defects Management: Conduct thorough inspections to identify defects in construction or maintenance work and implement an efficient tracking system for resolution.
- Track and Update Job Completion Timelines: Monitor progress on assigned tasks, update project timelines, and communicate potential delays to stakeholders.
- Sustainability and Signage: Collaborate with facilities to implement sustainability messages and signage across all locations.
- Ensure smooth operations on site(s) and facilitate incident investigation whenever necessary. Liaise with government authorities/ statutory boards and other divisions on matters relating to operational management and projects as needed.
- Handover/Takeover: Oversee & document the handover and takeover process.
Operations Responsibilities:
- Conduct Site Inspections: Perform regular walk-throughs to ensure facilities standards are met, raising any concerns for follow-up and aligning schedules with the Facilities team.
- Address Community Requests: Respond promptly (within 48 hours) to complaints and requests from community members regarding operations and project matters, taking immediate action to mitigate risks.
- Vendor Relationship Management: Assist in managing vendor relationships for ongoing maintenance contracts, ensuring all documentation is updated and saved centrally.
- Facility Maintenance Requests: Work with the Facilities team to address simple repair and maintenance tasks as needed, coordinating with finance/sales for tenant charging matters.
- Completion of Checklists: Prepare and ensure completion of required checklists for all project and operational activities.
- Ad-hoc duties: Assist with any other responsibilities of our business operations (For instance: front desk duties)
Requirements:
- Minimum Diploma in Property Management/Building Management/Estate Management/Facilities Management/Engineering or equivalent with 3-5 years of relevant experience in facilities operations management preferably in heritage shophouse management
- Able to work under pressure and meet tight deadlines with a calm disposition
- Comfortable with moving to different locations (central/near central)
- Strong communication and interpersonal skills to communicate professionally with both internal and external stakeholders to ensure operations & projects are well managed with positive feedback from tenants/members & employees.
- Knowledge of and conversant in the Building Maintenance & Strata Management Act
- Strong listening skills
- Proactive and takes initiative with a problem-solving approach
- Strong attention to detail,good planning and time management skills
- Teamplayer
- Possesses a valid Fire Safety Manager or First Aiders certification or WSH certifications
