HR Admin

- Responsible for admin, clerical & administrative

- Preparing, handling and managing documents & filing

- Assist in HR admin, filing & documentation

- Assist in licensing or any government requirements documentation

- Assist to receive stock deliveries & assure proper filing

- Carry out clerical duties such as filing, coping, scanning,

Job Description

Administrative Support:

• Organizing & preparing documentation for presentations and meetings.
• Monitor and track expenses & assist with budget management.
• Travel arrangements & manage logistics for business trips or conferences.

Client onboarding & communication:

• Assist in the onboarding of new clients by gathering necessary documentation & ensuring a seamless transition into our services.
• Act as the primary point of contact between the consultant and clients, handling phone calls, emails, and scheduling appointments.
• Accurately enter and update client information in our CRM system, ensuring that records are up-to-date.

Team support:

• Assist in the onboarding of new financial consultant by gathering necessary documentation & preparatory work.
• Track and disseminate between consultant and manager, handling advisory training and performance reviews.
• Foster a dynamic and vibrant team energy by innovating and executing quality of life measures for the team.

Qualifications:

• Minimum education requirement is an ITE (Institute of Technical Education) qualification or its equivalent.
• Good communication skills, both written and verbal. Proficiency in both Chinese & English.
• Basic computer skills, including familiarity with Microsoft Office Suite (Word, Excel, PowerPoint).
• Basic design knowledge for presentation slides (Canva) & social media (instagram,linkedin)
• A proactive, can-do attitude and the ability to work independently while also being a team player.

About the Role:

As Senior Executive/ Assistant Manager, you will supports the procurement activities and ensure that supplies are provided efficiently to the hospitals:

Key Responsibilities:

• Develop sourcing strategies that will support and add value to the functional area
• Guide procurement team in executing various Tenders/ Request for proposals/ Quotations to achieve Department KPI
• Implement the group procurement policy, processes and guidelines, ensuring that they are up-to-date, striking a balance between governance and efficiency
• Guide and ensure internal stakeholders are able to understand and comply with guidelines
• Review procurement activities within hospital to meet audit's requirement and to minimize risks
• Anticipate/address pitfalls in procurement process and implement effective measures to mitigate risk
• Recommend areas whereby work processes could be streamlined to achieve productivity savings while maintaining adequate governance
• Build relationships with key suppliers and to address performance issues effectively
• Manage and ensure all Contract are reviewed in timely manner
• Ensure proper documentations of all procurement activities and to support internal and external audits

Requirements

• Min. 3-5 years of relevant procurement experience
• Experience in process improvement, policy drafting and drive cost saving projects
• Strong communication and presentation skill
• Proficient in SAP MM/Ariba will be an added advantages
