We are looking for an Administrative Assistant who is experienced and well versed in office and IT administration including liaising with external stakeholders on office management, residences maintenance and facilitating IT related supporting services. This role is for maternity cover of 8 months from 1 June 2024 to 31 Jan 2025.
Duties & Responsibilities:
ADMINSTRATION FUNCTION
· Liaise with service providers on maintenance and repair works at office and residences
· Liaise with office building management on office facilities
· Maintain inventory lists, property database
· Procurement and administration of office equipment, supplies and services
· Administration of newspapers and magazine subscriptions
· Processing of expenses
· Other ad hoc admin duties
IT FUNCTION
· Primary contact for IT support
· Procurement of local IT equipment
· Responsible for IT facilities in meeting room
· Primary contact for Wi-Fi network issues at office and Ambassador’s residence
· Software updates of UM & non-UM laptops/PCs
· Manage power shutdown at the office
· Administration of broadband, phone and IT Software subscriptions
· Maintain inventory list for IT equipment and secured phones
Competencies:
· Diploma in Business Administration, Communications, or a related field.
· 2-3 years of experience in corporate management or past administrative roles is preferred
· Experience with working in an embassy environment is an advantage but not a requirement
· Proficient in Microsoft Excel, Word & PowerPoint
· Possesses an analytical mind and good problem solving skills
· Excellent organisational skills and multitasking skills, with the ability to prioritize tasks effectively.
· Team player, with strong interpersonal skills; good communication skills and contributes to a good work environment
