Job Purpose:
We are seeking a highly organized and proactive Executive Assistant to support the Senior Executive Assistant and ensure the smooth functioning of the MD office. The ideal candidate will provide comprehensive administrative and project support to senior management, facilitating effective time and resource management.

Key Responsibilities:

• Calendar and Email Management: Manage the MD’s calendar, schedule appointments, and handle email correspondence. Ensure timely responses and flag priority matters.
• Meeting Coordination: Prepare meeting agendas and materials, take minutes, and follow up on action items. Maintain confidentiality on sensitive matters.
• Communication Liaison: Act as the primary point of contact for internal and external stakeholders, ensuring clear and efficient communication.
• Document Management: Organize and maintain both electronic and physical filing systems, ensuring documents are up-to-date and easily accessible.
• Project Support: Assist in tracking and monitoring project timelines and deliverables, coordinating with cross-functional teams to ensure timely progress.

Requirements:

• Education: Diploma in Business Administration, Office Management, or a related field.
• Experience: Proven experience as an Executive Assistant or similar role, supporting senior executives or managers.
• Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with online collaboration tools, project management software, and cloud storage platforms.
• Soft Skills: Excellent organizational skills, strong written and verbal communication, and the ability to prioritize tasks. Must handle confidential information with discretion and professionalism.
• Personal Characteristics: Flexibility, adaptability, and resourcefulness in problem-solving. Ability to handle pressure and maintain professionalism in a fast-paced environment.
